Recruiting Coordinator (HR-Talent Acquisition) – Job Description

The position serves as administrative support for the Talent Acquisition team. The Recruiting Coordinator position is responsible for supporting corporate recruiting, sourcing, scheduling, onboarding, best practices, projects, events, and tools. The breadth of support is inclusive of the entire recruiting lifecycle.

Job Responsibilities:

  • Administrative support for the entire recruiting and on-boarding processes
  • Communication
    • Provide timely communication and status updates to candidates, new hires, and the Talent Acquisition team
    • Communicate hiring updates to onboarding teams and hiring managers
    • Respond to all questions and requests within a timely manner
  • Recruiter Support
    • Review applications and resumes via ATS and other active job boards (e.g., Indeed, LinkedIn, etc.)
    • Build sourcing pipelines using LinkedIn and other sourcing tools
    • Coordinate and schedule corporate interviews
    • Update candidate statuses in pipeline reports and HRIS system
    • Assist Recruiters with miscellaneous tasks
  • Job Postings
    • Create and maintain job postings in all applicable areas
    • Refresh and close job postings as needed
    • Review and update job descriptions to maintain accurate content and inclusive language
  • Offers/Onboarding
    • Accurately create offers and make updates as needed
    • Track and record status and details of all offers
    • Confirm all new hire details are correct in all applicable areas
    • Launch new hire paperwork to new employee within 48 business hours of offer acceptance
    • Own entire onboarding process and manage all new hire paperwork completion and processing for new hires
    • Provide regular follow up with new hires on incomplete paperwork or pre-employment tasks
    • Review and save background and drug screen results within 48 business hours of receiving results
    • Ensure all pre-employment paperwork and tasks are completed 2 business days prior to the new hire’s start date
    • Facilitate and process paperwork for internal employee promotions and transfers from posted job openings
    • Partner with other departments to onboard new hires
  • Additional Duties
    • Schedule and coordinate recruiting events and career fairs
    • Assist with the internship program
    • Assist with tool assessments and implementing new tools
    • Monitor and update new hire paperwork/documentation as need be to ensure continued compliance
    • Assist with pipeline and hiring reports

Job Qualifications:

  • Bachelor’s degree or equivalent experience required
  • Proficiency with Microsoft Office including Excel, Outlook, and Word
  • Ability to learn and work at a fast pace
  • Strong organization skills
  • High level of accuracy and attention to detail
  • Ability to manage a high volume of work
  • Ability to multi-task
  • Drive to consistently meet deadlines
  • Strong written and oral communication skills
  • Positive, flexible attitude
  • A high degree of confidentiality required
  • Ability to be proactive and raise questions when in doubt

Preferences:

  • Some Talent Acquisition or Human Resources experience
  • Knowledge and/or experience with the recruiting lifecycle or HR practices
  • Applicant Tracking System (ATS) experience
  • Experience scheduling interviews
  • Experience with sourcing platforms
  • Experience with job posting platforms
