POSITION: Regional Manager

RESPONSIBLE TO: Chief Operating Officer

SUPERVISES: Staff

JOB SUMMARY: Supervises office operations and clinic staff. Performs limited financial management. Communicates with the Chief Operating Officer to ensure maintenance of efficient practice operations.

EDUCATIONAL REQUIREMENTS:

  • High school diploma required
  • Bachelor's Degree required

QUALIFICATIONS AND EXPERIENCE:

  • Three to five years of work experience, with increased responsibility, in a medical office or related business office
  • Experience and understanding of managed care
  • Experience filing insurance claims and understanding reimbursement requirements
  • Experience supervising staff
  • Familiarity with practice management software and MSO processing applications
  • Solid understanding of scheduling efficiency and patient flow in a medical practice
  • Experience managing personnel files and explaining benefits to new employees
  • Neat and professional appearance
  • Able to handle staff questions, problems, concerns
  • Able to handle stressful situations

Responsibilities include, but are not limited to:

A. Personnel

Manages all staffing needs. Screens all applicants, suggests hiring of office staff and conducts performance reviews.

Recommends staff merit increases, promotions, and disciplinary actions to coordinator.

Promotes and integrate member of process improvement efforts

Completes and updates personnel files—ensures required forms are completed

Reviews office staff time sheets for payroll processing —verifies accuracy and completeness of employee time

Maintains all vacation and other “days off” schedules

Ensures all posts are filled by trained personnel during vacations and when staff call in sick. Fills in when needed

Responsible for maintaining high morale and good relations throughout the office/s

Recommends appropriate staff to attend continuing education courses in accordance with continuing education policies

Holds office staff meetings as required; prepares meeting minutes, and distributes them to staff and coordinator

Maintains good order and discipline

Manages conflict resolution issues with patients, staff, providers, and physicians

B. Daily Operations

Ensures office is presentable (clean and tidy) by performing rounds throughout the day

Oversees the distribution of work activities and schedules

Identifies clinical (back and front) flow issues and provides solutions.

Has basic knowledge of chart audits on medical assistants. Responsible for completion.

Has basic knowledge of chart audits on front desk staff. Responsible for completion.

Communicates with team leads and ensures staff performs daily huddles.

Ensures daily, weekly, and monthly logs are completed and in compliance with all local, state, and federal guidelines as required

Oversees petty cash and change funds. Balances and accounts for the money daily and provides change when needed

Ensures collections and verifications of patient’s demographic and insurance data prior to the patient’s visit

Ensures consistent collection of payment at time of service

Reviews daily reports and ensures check-out staff accurately completed the daily close

Oversees all cash handling including the daily deposit

Ensures sufficient supplies available for delivery of quality patient care. Orders supplies as needed (clinical, janitorial, and admin)

Ensures daily mail is sorted. Gives to appropriate staff for distribution

Monitors, maintains and suggests improvements regarding physician(s) schedules

Maintains equipment and inventory checklist up-to-date. Ensures instrument count is accurate in each treatment room

Ensures all sterilization techniques are performed and followed in each office, and that sterilized equipment is working properly.

Ensures hazardous material data sheets up to date and logs all required information in file as required by law

Ensures practice is in compliance with all OSHA standards, including the gathering of material required in OSHA Manual and continuously updating the Practice OSHA Manual. Ensures new personnel complete OSHA training.

C. Accounts Receivable

1. Has detailed knowledge of the workflow dashboard, including but not limited to: missing

slips, self-pay, no-shows, eligibility, claims submission, and patient collections processes.

2. Speaks directly with patients who have large outstanding balances, or coordinates

communication with patient accounts representative

3. Ensures staff understands and appropriately uses the insurances accepted sheet

4. Maintains knowledge of how to enter patient accounts and post payments

Other

1. Oversees maintenance of facility and proper care all office equipment

2. Maintains patient confidentiality

3. Attends continuing education courses as requested

4. Meets with Clinical Operations Coordinator on an ongoing basis

5. RM travels on a regular schedule and maintains in Google calendar

Job Type: Full-time

Pay: $55,000.00 - $90,000.00 per year
