Position Summary
The Department of Obstetrics & Gynecology, Division of Maternal Fetal Medicine at Columbia University is seeking a Scheduling Coordinator to join our Ultrasound Call Center. The basic function of the Scheduling Coordinator is to assist the Clinical Operations Manager and Division Administrator in overseeing the daily operations of the Call Center as well as perform all duties associated with scheduling.
Responsibilities
The Scheduling Coordinator will coordinate work schedules with scheduling staff at the direction of the Clinical Operations Manager and Division Administrator, supervise daily activities of the scheduling staff to ensure all incoming calls are answered promptly, monitor cancellation log and ensure patients are given a courtesy call and the ability to reschedule as desired. He/she will assist with orientation of new personnel, train and communicate new policies and procedures to schedulers with the guidance of the Clinical Operations Manager and Division Administrator, promotes professional interactions with other departments and foster good interdepartmental relations.
In addition the supervisory role the Scheduling Coordinator will triage, refers and responds to calls to the Call Center Unit. Provides superior customer service and referral information to patients, potential patients, faculty, and clinical offices that call to locate Ob/Gyn providers; schedules appointments for clinical and MFM ultrasound services; and provides general information in response to inquiries about the services provided by the Department. Calls will also include referrals for patients who contact the Department’s general line seeking appointments with Ob/Gyn physicians. This position will also be responsible for cross-covering schedulers as needed.
The role is the primary liaison between our external customers and the clinical offices and therefore the candidate must possess excellent telephone and interpersonal communication skills, a patient-centered work ethic and the ability to cover a variety of rotating assignments within a single work site. These assignments include handling general calls; scheduling appointments and procedures; data entry to several clinical information systems and accurately processing insurance verifications.
Other responsibilities includes, working collaboratively with the Clinical Operations Manager, Division Administrator and marketing staff to ensure the accuracy of frequently asked questions by external clients and to provide updates on the types of inquiries received; answering telephone calls and routing them appropriately; schedule patients for the Department of Maternal Fetal Medicine; clinical and ultrasound appointments; accurately entering patient information into the appointment scheduling system and any other documentation if needed; follow scheduling guidelines as provided and appropriately escalate any issues to the Clinical Operations Manager and Division Administrator; collaborate with the MFM IV auth team with same day add-ons to obtain all necessary time of service authorizations; insurance verification information and pre-certifications; including co-pays and deductibles due at the time of service; maintain an accurate list of clinical contacts for referral of patients with urgent or emergent clinical problems for each physician’s office; ensure dissemination of accurate and timely information to and about patients by utilizing all department clinical information systems; conforms to all applicable HIPAA; billing compliance and safety guidelines; performs miscellaneous duties as assigned; provide coverage for other schedulers and front desk area as needed; filing, faxing and other related administrative duties and other responsibilities as needed.
Minimum Qualifications
- Excellent oral and written communication skills, team spirit, computer literate and customer service oriented
- Requires a bachelor’s degree or equivalent in education and experience, plus two years of related experience
- OB/GYN scheduling experience for a minimum of two years, p
- Possess strong organizational skills and be detail oriented
- Ability to interact effectively and efficiently with patients and co-workers
- High level of professionalism and maturity, and the ability to work independently
