Job Summary and Qualifications

The Scheduling Coordinator-Surgical Services works under the direction of Surgical Nurse Manager,

acting as principle coordinator of communication with physicians, their offices and hospital staff.

Schedules cases for Surgical Services utilizing Meditech OR Module to meet the physicians’ needs and

to ensure efficient progression of scheduled cases. Communicates special requests with appropriate

supervisors/staff. Collaborates with other Scheduling Coordinators, Supervisors, and physician office to

provide adequate time allotments for each procedure scheduled. Communicates all changes in the

schedule to all involved physicians, OR personnel, and other ancillary hospital departments as

appropriate. Answers phones, organizes and prepares the Surgery Schedule for the following day and

other assigned clerical duties.

1. Schedules and coordinates the operative and endoscopy schedule.

  • Schedules cases for Surgical Services in accordance with policy & procedure.
  • Ensures appropriate resources are available for the scheduled procedure.
  • Audits Physician Suspended List.
  • Verifies physician privileges
  • Assists in arranging the OR schedules for optimal time management and efficiency.
  • Ensures correct procedure selection for surgical and endoscopic procedures.
  • Obtains patient demographic data; include patient diagnosis, insurance and Surgical group.
  • Enter all patient demographic information.
  • Enter appropriate side/site in accordance with policy and procedure.
  • Enter appropriate information regarding surgical procedures involving CJD.
  • Working knowledge of ancillary department schedules related to scheduling of multiple procedures.

2. Provide excellent communication, written, organizational, and public relation skills.

  • Demonstrate excellent telephone skills.
  • Demonstrate a good working knowledge of medical terminology.
  • Demonstrate a working knowledge of all departments and their terminology (Radiology, Cardio-Pulmonary, Cath Lab, Endo, Diabetic Education, Same Day Surgery Admissions, Pre-Surgical Testing, Anesthesiology and Surgery-Inpatient and Outpatient.)
  • Participates in auditing information for accuracy.
  • Performs communications amicably and professionally with physicians and physician’s office staff regarding scheduling of their patients.
  • Communicates and coordinates between facility needs to all scheduling parties and departments as well as understand the need to accommodate the physician’s schedule and the patient’s schedule.
  • Responsible for faxing or delivering any orders, Labs, H&P’s to ancillary departments that are received in O.R. Scheduling.
  • Participates in obtaining additional information requested by a specific department needed to help department with improving their customer service
  • Exhibits general concepts of Block Time Protocols.

3. Demonstrate ability to use various computer systems and scheduling systems.

  • Demonstrate knowledge of computer, printer, fax and copiers.
  • Participates in accurately obtaining, entering, and updating patient demographic information into Meditech OR Module.
  • Participates in entering and scheduling all procedures for outpatient and inpatients surgeries and coordinates with other departments for corresponding tests and equipment with Meditech OR Module.
  • Responsible for accurately entering the appropriate procedure, site/side performed and schedule in the Meditech OR Module.

4. Demonstrate knowledge of work practices

  • Responsible for notifying appropriate supervisor and/or managers of any special request for procedures.
  • Responsible for working with Supervisor on employee scheduling/staffing, and provide back-up/coverage as needed.
  • Responsible for completing work within appropriate time frame.
  • Demonstrate skills needed to set priorities.
  • Demonstrates ability to perform well in stressful and emergency situations.
  • Responsible for following established procedures in performing job junctions.
  • Responsible for follow through with assignments and informs supervisor if unable to complete task.
  • Responsible for seeking additional tasks to perform if assigned tasks are completed.
  • Responsible for performing duties in a cost effective, efficient manner.
  • Responsible for being accountable for completeness of all required data for scheduling procedures.

5. Participates in unit activities.

  • Participates in budget and inventory control.
  • Keeps supervisor and/or buyer informed of needed items.
  • Participates in staff and self-development.
  • Takes appropriate action to prevent/manage accidents in the area.
  • Participates in performance/process improvement.
  • Assists with orientation of new employees.
  • Completes annual department competencies.
  • Attends 80% of Staff Meetings.
  • Completes all mandatory education.
  • Performs other duties as delegated

What qualifications you will need:
  • High School Graduate / GED
