Range 33: $24.12 – $26.60/per hour (Steps 1-3 on a 6-step salary plan)

Job Summary: Under the direction of the Principal, perform advanced level secretarial andadministrative support duties; provide excellent customer service to administrators, faculty, staff, students, parents and the public; explain program services, policies and procedures; initiate and answer telephone calls; screen and route calls; respond to inquiries and provide information; retrieve and respond to messages as appropriate.
Essential Duties and Responsibilities:
● Compile information and prepare and maintain a variety of records, logs and reports related to programs, students, attendance, staff, projects and assigned duties; monitor certificated staff absences; arrange for substitute staff coverage; print substitute staff rosters; ensure substitutes have classroom keys, bell schedule and map of school campus.
● Record and enter classified, certificated and supplementary employee attendance; verify attendance for both classified and certificated staff; ensure absences are charged to appropriate funding source and accounts per employee contract; print summary reports as needed; ensure accuracy of input and output data.
● Receive, open, sort, screen and distribute incoming mail; compose replies independently or from oral direction; prepare and distribute informational packets and bulk mailings; follow-up on pending or required actions.
● Maintain appointment and activity schedules and school calendars; organize assigned school events; send automated message to parents as announcement of events; create flyers, brochures and presentation materials for events, as needed.
● Perform routine minor first aid to students and staff, as needed; dispensemedication to students as directed by student’s doctor; maintain communication with school nurse in making announcements of District health concerns and exposure notices.
● Monitor funds for income and expenditures; ensure expenditures do not exceed established budget limitations; calculate, prepare and revise accounting and budgetary data; balance and reconcile assigned accounts and budgets; create, process andsubmit work and purchase orders; serve as liaison to Principal, teachers and parent-teacher groups for financial operations, accounting procedures, funding sources and approved vendors for goods and services.
● Assist with student registration and prepare necessary forms.
● Prepare requisitions for work and purchase orders; monitor purchase orders and work requisitions for correct account codes; check invoices against merchandise received for accuracy and completeness; set up new accounts as needed; route invoices for approval and payments; establish and maintain accounts payable and receivable for assigned accounts.
● Collect various monies and fees for assigned office or programs as required; receive, verify and prepare cash or check deposits.
● Maintain record of certified, classified and temporary hires; monitor employees hired for supplementary assignments; enter information of supplementary hires, including hourly rate and specific work to be completed into computer system.
● Submit work orders; follow-up on work orders; evaluate need for emergency repairs; coordinate repairs with Facility Department; ensure appropriate stock of custodial supplies.
● Approve and provide facility permits; ensure availability of facilities for external users.
●Train and provide work direction and guidance to designated clerical personnel as assigned.
● Communicate with personnel and various outside agencies to exchange information, request and provide materials, coordinate activities and resolve issues or concerns; maintain confidentiality as it relates to student data.
● Operate a variety of office equipment including a calculator, copier, fax machine, computer and assigned software; arrange for equipment repairs as required.
● Dispense medication to students as directed by student’s doctor.
Education and Experience:
Any combination equivalent to: Associates degree in a related field and five years of clerical and secretarial experience involving frequent public contact. A Bachelors Degree or higher can be substituted for experience.
