Position Summary & Responsibilities
The Kansas State Board of Healing Arts is seeking to fill a full time, benefits eligible Senior Administrative Assistant, that can manage the front desk, as weill as be administrative support to the Administration unit here at the Kansas State Board of Healing Arts. Duties will include, but are not limited to the following:
Customer Service/Front-Desk
- Provides front desk coverage for the Kansas State Board of Healing Arts.
- Answers multi-line phone in prompt and courteous manner for the agency.
- Responds to call-in and walk-in inquiries within scope of knowledge or will direct inquiry to appropriate staff person.
- Acquires and maintains general knowledge regarding all areas of the agency so that callers can be referred to the proper person; and provides basic information to routine questions from callers, thus saving professional staff time.
- Independently maintains written procedures and processes for the front-desk. Responsible for training staff that will back-up front desk duties.
- Generates daily workload statistics report upon request.
- Ensures that requests for information are responded to in accordance with the Agency’s Open Record’s Policy.
Agency Mail
- Sorts and scans all daily mail and provides a date stamp on all postal correspondence; and organizes bulk mailing including renewals, licensing acceptance letters, and wallet cards.
- Stamps mailed checks with the “Deposit Only”.
- Distributes correspondence to staff.
- Provides signature for all items from FedEx, USPS, UPS, and Certified Mail; logs the receipt of the item in a log book; and then notifies the appropriate staff member by e-mail of the delivery.
- Contacts mailing companies for pick-up of outgoing mail.
Administrative Support
- Librarian for agency court records and exhibit files: maintains orderly filing of all records; creates/updates files and maintains an updated index for each file.
- Prepares form letters, documents, routine correspondence, file folders, labels and envelopes from rough drafts, source documents or information provided. Examples include but are not limited to: labels for administrative hearing files, hanging folders, correspondence files, and various administrative and operational information files; and routine hiring and recruitment letters.
- Gathers and re-files paper data, legal and information files as requested.
- Assists with training and development activities, which includes maintaining updates to the agency’s Learning Management System (LMS); and coordinates agency professional development, IT security awareness and emergency preparedness training.
- Assist with updates to the agency’s COOP plan as needed. Make updates in the online portal as needed.
Public Information
- Responds to requests for electronically stored data through pre-programmed queries received from public, staff, and state, federal and local agencies; creates record of transaction in agency database system, and processes payments as applicable.
- Process and receipt transactions for data request payments. Run batch reports to balance and forward to accounting.
Qualifications
- Education: Highschool Graduate or equivalent
Preferred Qualifications: 2 years General Office experience is perferred.
Post-Offer, Pre-employment Requirements: A pre-employment background and criminal history record check will be performed as part of the recruitment process.
