Service Department Dispatcher & Automotive Service Warranty Administrator
Job description
Berkeley Ford is a high growth sales & service operation, and we are looking for great people to join our team. We are a brand new facility with a climate controlled shop and we are not part of a dealer group.
We are seeking an individual to primarily serve as an Automotive Service Department Dispatcher and assist with Automotive Service Warranty duties (we utilize an outside warranty service, but an individual needs to assist with submission, corrections, compliance, etc.). Job also entails a wide range of administrative and service support duties including the handling of internal repair orders. The Dispatcher is responsible for shop workflow including assigning jobs to technicians and knowing where each vehicle is in the repair process and automotive service dispatch experience is required. We can help train on warranty administration although actual automotive warranty administration experience is a definite plus.
Warranty Administrator Duties and Responsibilities:
- Code, book and close warranty, extended warranties & internal repair orders & customer pay.
- Accurately code warranty & extended warranty claims and enter into our DMS (Dominion).
- File and reconcile factory’s response for paid and rejected claims.
- Close repair orders daily.
- Submit / download warranty claims each day to warranty service for reimbursement by the manufacturer.
- Submit daily, weekly, biweekly, or monthly (depending on the timing of warranty claim credit memos) corrections to the accounting schedule for outstanding and paid warranty claims.
- Processing warranty & extended warranty paperwork to ensure documentation and verifying criteria required by factory or distributor.
- Review warranty claims and correct any errors.
- Handle rejected claims according to dealership and/or manufacturer specifications and follow up on outstanding claims.
- Maintain a record of all claims submitted; date submitted, responses, and payment history.
- Apply credits to the warranty schedule.
- Obtain the service director’s approval for any claims that must be adjusted to policy expense.
- Follow up with the factory or distributor regarding unpaid claims.
- Provide training to the service manager and advisors about warranty coverage and procedures.
- Keeping abreast of all factory recalls and announcements.
- Reconciling all service receivables.
- Maintain all service and customer records as required by the warrantor.
- Assist with all other duties as assigned.
Service Dispatcher Duties and Responsibilities:
- Issue repair orders to proper Technician based on skill, knowledge, certifications, and load.
- Periodically check-in with Technicians and advise Service Manager if assistance is needed
- Give accurate estimates of time of completion for each repair order written and advise if the completion is before or after the original estimate
- Receive and finalize hard copy of repair order from Technician
- Ensure technician clocking and documentation is completed
- Ensure all warranty labor ops are accurate and assigned to repair lines as needed
- Ensures that technicians follow warranty material disposition procedures.
- Implements fair measures to increase shop efficiency and help create positive technician morale.
- Assist with all other duties as assigned

Candidates must demonstrate the following qualifications and competencies:
- Must have some degree of hands-on technical automotive experience
- Must have excellent verbal and written communication skills, including the ability to effectively present information and respond to questions and management
- Must have excellent customer service skills and interpersonal communication skills
- Must possess a valid driver’s license
- Must demonstrate sufficient computer literacy (Microsoft products and use of our DMS - Dominion)
- Must have AUTOMOTIVE shop dispatching experience
- Must possess a positive attitude and commitment to adhere to and administer company policies, procedures, and standards
