Under the general supervision of the Program Manager, the Staff Assistant will perform various administrative duties and provide customer support services in person, by telephone, via Zoom, MS Teams, and in writing to support the Family Resource Center (FRC).
This is a part-time non-benefitted position (24 hours per week).
Employment is provided by Heluna Health.
ESSENTIAL FUCTIONS
The duties of the Staff Assistant include, but are not limited to:
- Direct and connect visitors and callers to the FRC to the appropriate staff
- Responds to all inquiries for the FRC in a timely and professionally manner
- Provides responsive customer service for FRC patrons of any age, cultural background, or developmental ability
- Refers public inquiries and administrative problems to the appropriate staff member
- Establishes, maintains, and updates files, databases, records and other documents
- Collects and distributes mail on a daily basis
- Drafts a variety of standard documents and correspondence as needed
- Performs data entry in Excel, MS Sheets, Google Drive, or Salesforce
- Processes referral forms, both paper and electronic formats
- Assists with the logistics for special events, such as conferences, office activities, meetings and seminars
- Stocks and distributes office supplies as needed
- Uses various software applications, such as spreadsheets, relational databases, statistical packages, and graphics packages to assemble, manipulate and format data and reports
- Assists with marketing activities and FRC website and social media maintenance
- Coordinates with other departments/projects to accomplish specialized tasks by obtaining relevant data
- Promotes and disseminates information about FRC programs, services and policies
- Travel from East Los Angeles site to the Alhambra site as needed.
- Other duties as may be assigned by the Director
JOB QUALIFICATIONS
Education/Experience
- High School Diploma or equivalent
- At least six (6) months of experience performing administrative duties
- At least two (2) years of experience work with or accessing services from the following organizations: Early Start Program, Regional Center System, Social Services, Health Services, and Special Education Services
- At least one (1) year of experience providing support to families of children with developmental disabilities
Certificates/Licenses
- A valid California driver’s license, proof of vehicle insurance, and reliable transportation or the ability to utilize an alternative method of transportation when needed to carry out job-related essential functions
Knowledge, Skills and Abilities
- Bilingual English/Spanish language skills preferred
- Ability to work flexible hours as needed, including evenings and weekend hours
- Demonstrate an understanding of the Early Start Program, Regional Center System, Social Services, Health Services and Special Education Services
- Strong customer service and interpersonal skills
- Effective verbal and written communication skills using proper English grammar
- Proficiency in Microsoft 365 (Outlook, Word, Excel, Public PowerPoint, MS Teams)
- Desktop publishing experience, including Adobe Photoshop, Illustrator, and Canva
- Ability to complete routine and moderately complex administrative tasks
- Ability to respond diplomatically to public inquiries
- Strong organization, time management, and prioritization skills
- Ability to use standard office equipment (phones, fax machines, printers)

WORK ENVIRONMENT
General office setting, indoors temperature controlled, and travel to offsite outside locations. Main worksite will be central office in Alhambra. Will be required to travel and work in the Whittier and/or East Los Angeles Community as needed.
