Job Summary
Provide administrative assistance to surgeon in accordance with the mission statement of the Department of Neurological Surgery. Duties include coordination of administrative tasks, scheduling and coordination of patient care issues.
Essential Responsibilities
- Responsible for providing administrative, analytical, computing and staff support for University Physician Associates Neurological Surgery. Executes assignments and tasks requiring data collection, information gathering, analysis, data entry/retrieval, data base maintenance, and forms and graphics generation utilizing a variety of software packages.
- Provide assistance in delivering patient care at the direction of assigned attending.
- Assist maintaining the department's workload ensuring effective use of manpower and resources to assist in the smooth running of the department. Acts as the focal point of communication for the assigned Attending and his/her team, confidentiality being the key issue at all times. In undertaking the role of staff assistant, the post holder will be required to initiate their own tasks and prioritize work.
- Utilizes specific knowledge of medical terminology and hospital, clinic, or laboratory procedures, and otolaryngology billing for optimal reimbursement and is familiar with insurance rules, billing practices, and hospital or laboratory procedures. Duties may include scheduling appointments, assisting the physician in coding for patient billing, and compiling and recording medical charts, reports, and correspondence.
- Responsible for procedure or medical test procedure authorizations and scheduling including: authorizing services, assisting the patient in scheduling those services, and obtaining reports and medical notes for the attending physicians review.
- Communicates in a highly professional manner with department faculty, university administrators, researchers, staff and students, and the many external callers and visitors that frequent the very busy pain management practice.
- Screens calls and provides information in accordance with organizational and departmental policy. Receives and appropriately handles incoming correspondence, makes appointments, schedules meetings, and responds to inquiries.
- Undertakes routine writing and editing assignments; generates correspondence for signature; maintains mailing lists.
- Coordinates and maintains the department and physician calendar. Exercising discretion, applies informed independent judgment to help manage the assigned physician's time.
- Understands and adheres to University Physician Associates, compliance standards as they appear in RBHS's Corporate Compliance Policy, Code of Conduct and Conflict of Interest Policy.
- Keeps abreast of all pertinent federal, state and University Physician Associates' regulations, laws and policies as they presently exist and as they change or are modified.
- Covers the front desk, call center according to departmental needs.
- Travels to other locations for additional coverage according to departmental needs.
Job Qualifications
- HS Diploma required
- Experience working in a Neurosurgery physician group practice is a plus
- Significant knowledge of computer applications including Microsoft Word, Excel, practice management software, and Powerpoint as well as a skilled use of web and web-based software
- Ability to perform multiple and diverse tasks simultaneously
- Neat, professional appearance
- Strong written and verbal communication skills and cheerful attitude
- Applicant must demonstrate ability to critically think and self-manage daily tasking
Hours:
Monday - Friday: 8:30am-4:30pm
- Hours are subject to change as business needs require.
