Office Location: Richmond, CA (up to 50% hybrid role of in-person and remote)

Compensation: $23.04/hour (estimated $47,913/annually), generous benefits package

Program Summary

The STAY FLY Program builds agency, self-sufficiency, and self-advocacy in transitional-age young adults between the ages of 18-25 while decreasing their likelihood of deeper justice system involvement. The STAY FLY Program includes one-on-one case management, prosocial events, law-related education, and systems collaboration.


STAY FLY Program Coordinator - Position Summary

The Program Coordinator is responsible for helping FLY expand the STAY FLY Program in Contra Costa County through direct service and supporting all functions of running an effective and efficient program. This position will be responsible for coordinating all program activities, managing data entry and program paperwork, and helping to deliver FLY’s Law-Related Education (LRE) curriculum for justice system-impacted young adults (18-25).


Position Responsibilities

Coordinate the Preparation of Supplies for Program Workshops and Events

  • Organize and coordinate logistics for program workshops and events, including purchasing supplies and snacks, reserving rooms and event venues, preparing and transporting materials, and ordering meals

  • Support in the creation of systems for weekly workshops for all LRE sites, including creating call logs, paperwork collection protocols, etc.

  • Ensure program team have all supplies needed to run programming at LRE workshop sites and during program events

  • Manually track all aspects of event execution in planning spreadsheets

  • Create and distribute program flyers prior to workshops and events

  • Complete and enter necessary post-event data entry into our internal database, Efforts to Outcomes (ETO)

  • Manage and organize liability waivers, medical binders, and ensure paperwork is up to date and physically with the team at each event—in case of young adult emergencies

  • Transport young adults to and from designated program events and activities, as needed


Manage Program Paperwork and Data Entry

  • Track attendance at events and workshops, and enter necessary information into ETO database and other tracking systems

  • Create, organize, and update all program binders, including enrollment binders, waivers and medical information, workshop binders, recruitment binder etc.

  • Maintain and update all necessary information into FLY’s ETO database, Google Drive, and/or Dropbox folders, ensuring accuracy on a regular basis

  • Support in the completion of case files in collaboration with the Case Managers

  • Ensure all documents and confidential information are current and appropriately filed

  • Support Case Managers in entering staff notes and assessments in the ETO database, as needed


Manage the Intake of Program Referrals

  • Process new program referrals into the program throughout the year, including contacting 90% of young adults referred within 72 hours

  • Create clear communication lines with referral providers to expedite referral processes, and generate and maintain positive relationships with referral sources such as education providers, individual families, public defenders, probation officers and other community partners

  • Exercise independent judgment and discretion to accept young adults into the program who exhibit moderate to high needs in collaboration with the program team

  • Complete necessary data entry of all referrals into ETO database


Provide General Programmatic and Administrative Support

  • Facilitate LRE curriculum at assigned workshop sites

  • Enter program reimbursements into budget tracking systems, submit to accounting, and provide updates to the program team on spending trends

  • Upload photos to Google Photos and organize and manage folders

  • Support in the creation of systems that will ensure that the team and program remains organized in collaboration with the Program Manager (i.e. tracking tools, manuals etc.)

  • Generate program-related reports for the team and external stakeholders, as needed

  • Purchase general program supplies and file paperwork, as needed

  • Supervise interns to support program-related tasks, as needed

Other duties as assigned and needed.

Note: Many FLY events and activities occur during evenings and weekends and require flexibility in staff schedules. Some travel between counties will be required.

This position is a full-time, non-exempt role at a rate of $23.04/hour (estimated $47,913/annually) with differential pay options based on an advanced degree and, when applicable to the role, speaking another language. Our Total Rewards Package also includes the following:
