Essential Job Functions
The Student Services Specialist serves a vital role as a representative and team leader at the Hickory campus in the efficient operations of Registrar functions.

This position provides information and assists with duties related to all aspects of the Registrar’s Office. Therefore, the position involves a high amount of public contact, particularly in-person and over the telephone. The position serves as administrative support to the Registrar at the Hickory campus and works on special projects as assigned by the Registrar or any Senior Associate Registrar.

Responsibilities include but are not limited to the following:
  • Fielding questions and problem-solving scheduling, registration, grading, or other operational-related issues pertaining to the schedule of classes or on-campus course offerings at the graduate and undergraduate levels.
  • Assists current and prospective students, alumni, parents, faculty, and staff utilizing knowledge of university policies and procedures.
  • Process registrations and resolve problems with student registrations.
  • Works with students to submit proper documentation and forms to make record adjustments and enrollment choices, including grade changes, enrollment verifications, transcripts, audit forms, pass/fail forms, Dean’s certifications, late adds and drops, retro-active adds and drops, special course forms, and repeat forms.
  • Interpret discrepancy reports and correct errors.
  • Cross-train with other division and departmental support staff as needed and conduct research to resolve problems.
  • Assists in reviewing website content for needed updates related to areas of responsibilities and ensures procedures within the Hickory campus are clearly documented and kept current.
  • Supportive of exploring more efficient ways to perform tasks utilizing technology resources.
  • May include other duties as assigned due to office needs or changes.

Preferred Qualifications
  • Bachelor’s degree from a four-year college or university and a demonstrated possession of knowledge, skills, and abilities gained through experience in customer service in a university setting, preferably within a Registrar’s Office or other high traffic Enrollment Management area.
  • Banner experience and experience working in higher education student services is highly preferred.
  • Experience working with a diverse group of individuals and with minimal supervision is preferred.

Ability to determine sources and gather information, via interviews, surveys and other methods, to complete work in assigned program area(s). Ability to research, compile, explain, and present data. Ability to clarify the rationale for the information/records management policy and practices. Ability to train clients in how to use software, databases and related forms and tools.

Ability to analyze and explain how policies or procedures apply to programmatic and client needs. Operational knowledge of the purpose of the program’s organization including its mission, services, clients and measures of business effectiveness. Ability to modify processes using applicable technology, web-based data systems and programs.

Customer Service: Ability to develop and maintain productive and collaborative work relationships in order to facilitate effective service in assigned area and problem resolution with clients. Ability to explain the application of policies and procedures in terms of client needs and business results and goals. Ability to identify options and makes recommendations within established guidelines to meet competing needs.
