Scope of Job
To perform a variety of tasks related to academic course scheduling, and event scheduling in academic spaces.

Description of Duties
  • Assists with campus-wide academic course scheduling by processing requests for scheduling new classes, making class schedule changes, and cancelling classes.
  • Assigns classrooms for course sections, academic study/review sessions, as well as, coordinates with other internal constituents to ensure classroom space is available for non-academic activities.
  • Reviews and approves event requests in academic spaces.
  • Conducts academic scheduling training sessions and provides support to academic stakeholders.
  • Reviews weekly error reports to ensure compliance with academic scheduling standards, processes, and policies.
  • Assists departments with troubleshooting problems related to scheduling and registration.
  • Advises faculty and staff with regard to scheduling elements such as proper scheduling of contact hours, best scheduling practices, and following established standard class times.
  • Conducts campus-wide event request training sessions.
  • Assists with maintaining buildings/room inventory, department contacts, and linked forms in the scheduling software.
  • Works with facilities coordinators and other non-academic space approvers to review requests.
  • Provides assistance to the Scheduling Coordinator.
  • Assists with room assignments for final exam schedules.
  • Prioritizes work to be performed based on registration deadlines and peak times.
  • Participates in Commencement.
  • Performs other related duties in the Office of the Registrar as assigned.

General supervision from assigned supervisor.

Supervision Given
Direct supervision of assigned staff.

Required Education
Associates Degree, related work experience can be substituted for education on a 1-for-1 basis.

Preferred Education
Bachelor’s degree from an accredited university.

Licenses/Certifications
None.

Required Experience
Two (2) years of job-related experience.

Preferred Experience
Experience with Banner student information system desirable. Experience with Ad Astra scheduling software.

Equipment
Use of standard office equipment.

Working Conditions
Needs to be able to successfully perform all required duties. Office Environment; some travel and weekend work is required. Exerting up to 10 pounds of force occasionally, and/or a negligible amount of force frequently or constantly to lift, carry, push, pull or otherwise move objects, including the human body. UTRGV is a distributed institution, which requires presence at multiple locations throughout the Rio Grande Valley. Work is performed primarily in a general office environment across the Rio Grande Valley.

Ability to communicate effectively, both orally and in writing, with faculty, staff, and students. Strong organizational skills. Ability to adapt effectively and quickly to changing policies and requirements. Ability to prioritize multiple responsibilities and work in a group.
