Workweek: Monday- Friday, 8:30am-4:00pm (37 ½ hours)

The Department of Administration is looking for a clerical staff member to assist with the City’s Tax Collection
Division with their payroll tax administration while ensuring taxes are in compliance with all state laws and municipal directives. This role will also be responsible in performing a range of administrative, transactional, and record keeping duties such as balancing cash receipts, preparing and mailing out tax notices, and managing payment agreements and delinquent accounts.
Job Duties:
- Processes payroll tax payments, fees, and bills, balances cash receipts, prepares and issues property tax related documents such as legal action letters, manages payment agreements and delinquent accounts, tracks tax returns and accounts receivable, and mails out tax notices.
- Prepares cash receipts and disbursements, calculates payable deductions, ensures that entries, postings, and totals are accurate and supporting documents are included, and reviews expense accounts for funding or budgetary limitations and discrepancies.
- Manages received cash or check tax payments, totals cash and checks for bank depositing, and prepares financial statements.
- Follows up on inquiries concerning fees, bills, and property tax related issues.
- Assists with special assessment taxes, deductions, and tax sales.
- Performs other duties as assigned.

Required Education: High School or GED diploma.
Required Experience: Minimum one (1) to two (2) years of previous administrative, accounting, finance, or other related experience.

Essential Skills:
- Ability to interpret laws, regulations, policies and procedures relating to municipal tax collection.
- Demonstrated experience in establishing and maintaining effective working relationships with department heads, staff, and elected or appointed officials.
- Ability to prepare accurate and complete reports on status of tax collections on a current basis.
- Excellent organizational and multi-tasking skills including the ability to set priorities and be flexible to last minute changes.
- Strong written, verbal, interpersonal, and organizational skills.
- Attention to detail with the ability to prioritize to meet deadlines.
- Proficient in Microsoft Office Suite including Outlook, Word, and Excel with the ability to learn new computer programs.
- Ability to work independently and maintain confidentiality of sensitive information.
Preferred Education/Skills/Qualifications:
- Previous experience in administration of municipal property taxation and collection.
- Knowledge of tax collection laws, principles, practices, and procedures.
- Willingness to obtain tax collection certification.
- Previous finance experience is a plus.
- Bachelor’s degree in Business, Finance, Accounting, Public Administration or other related field.
This is a Civil Service Job and you must eventually pass and qualify for the applicable Civil Service title.
