Job Skills/Requirements
GSG Protective Services is looking for an On Site Assistant Account Manager in the Culver City, CA area. This position is responsible for assisting the account manager with supervisory, training and operations functions at the assigned post in accordance with post orders and client instructions and following all internal procedures.

Essential Duties and Responsibilities

Administrative

  • · Monitor payroll every morning for the day prior, including that morning’s graveyard shift
  • · Verify employee times via WinTeam to identify employees who clock in late and clock out early.
  • · Ensure all the daily paperwork that the officers use is fully stocked.
  • · Run the license/expiration report once a month to check for upcoming CPR expiration dates and guard card expiration dates.
  • · Periodically review post orders for any needed updates
  • · Collect weekly break logs and verify accuracy.

Client Relations

  • · Maintain open and accurate communication with the client
  • · Serve as the secondary contact for the on-site client and client personnel
  • · Monitor and resolve all requests from the client until full closure is achieved
  • · Ensure that a high level of security and customer service is consistently provided.
  • · Complete special projects as assigned by the client staff members.

Human Resources

  • · Employee Complaints – escalate to Human Resources when related to harassment, discrimination, workplace violence or hostile work environment.
  • · Employee Conflicts – ability to mediate and resolve by using strong judgement
  • · Documentation – ensure all conversations, issues, concerns, etc. is properly documented in WinTeam
  • · Corrective Action – administer corrective action as needed and properly document
  • · Discipline – administer progressive discipline as needed and properly document
  • · Ability to properly de-escalate situations, treat all officers with the proper respect and dignity irrelevant of their shortcomings
  • · Monitor and enforce Meal and Rest Breaks, including reporting when one was not feasible.

Operations

  • · Ensure that you are staffing all special requests and work orders as they come through and respond to the emails.
  • · Ensure the elevator checks and emergency blue phone checks are completed monthly.
  • · Ensure the lost and found items are being logged and secured properly.
  • · Monitor your radio and respond to all emergency calls while on duty.
  • · Ensure you are sending the event information to the supervisors and command center for special events for them to access if you aren’t going to be in attendance.
  • · Monitor all emails that are sent to the manager’s email and respond as needed.
  • · Attend daily briefings to ensure that all personnel under his/her supervision are properly informed of the daily activities and any client/management directives
  • · Conduct training weekly of posted officers and supervisors.
  • · Conduct random uniform inspections.
  • · Familiarize yourself with the site (i.e., stairwells, elevators, emergency exits, stages, buildings, etc.)
  • · Report unsafe conditions and other safety concerns immediately.
  • · Check the GSG vehicle weekly to ensure it is clean and in good condition.
  • · Ensure all vehicles assigned to this site are properly accounted for, serviced, and inspected.
  • · Check TrakTik to ensure Dar’s, Pass downs, and IRs are complete.
  • · Verify that all required information has been entered into TrakTik and that the grammar is correct.
  • · Review and track reported camera issues.
  • · Maintain the ability to respond to after-hours emergencies as required as a backup to the primary manager.
  • · Be able to assist with badging as a contingency.
  • Must be able to multi-task and self-manage in a dynamic environment.
  • · Assist and/or resolve complex situations involving multiple parties that may include violent and/or mentally unstable individuals.
  • · Detain suspects, including violent suspects, when necessary for the safety of GSG employees and the public.

Retention/Moral

  • · Ensure a positive work environment for all Officers
  • · Identify and address any issues such as break facility issues, restrooms, etc. immediate and request support when needed
  • · Address any moral issues immediately and request support when needed
  • · Address all officer concerns/complaints timely, with open communication and close all issues with a final outcome
  • · Ensure that the workplace is free of favoritism, rumors, and other cultural elements that may lead to a lack of moral
  • · Fairness – ensure all officers are treated equally when in regard to corrective action, discipline, etc.
  • · Reward, Acknowledge and Promote officers
  • · Ensure office/staff recognition is applied periodically

Scheduling

  • · When starting your shift, cover the call offs that have not been covered by the manager.
  • · Start the following weekly schedule on Wednesday and have it complete by Friday afternoon for review.
  • · When requests for staffing come through immediately reach out to entertainment scheduling for assistance
  • · Ensure all the special events that are input into WinTeam are correct (i.e., scheduled officers and times)

Supervision

  • · Ensure a safe work environment and enforce all safety policies and procedures
  • · Enforce all GSG Polices
  • · Foster the Core Values of PROTECT
  • · Walk the site to check on the officers and supervisors to ensure they are complying with all policies and procedures. Retrain when necessary or explore other corrective measures.
  • · Counsel security officers on company policies, procedures, and practices to ensure a sound employee relation environment.
  • · Spend time with the officers from each shift to check on their welfare and address any concerns that they might have. As well as to observe them while they are performing their assigned job duties.
  • · Ability to remain calm and professional in stressful situations with a high degree of conflict management & resolution skills.
  • · Expected to support and perform duties of all subordinates (ex. Supervisors, Leads, and officers).
  • · Identify, evaluate, and take action up to, and including, full resolution of problems and incidents involving multiple people and/or issues from varying backgrounds and cultures.

Training

  • · Develop and maintain a comprehensive OJT program by post
  • · Evaluate and make recommendations on current policies and procedures.
  • · Train with the control operators so that you are fully aware of what their functions are and as not to lose the skills that are needed to perform their duties.
  • · Conduct training with supervisors on their duties (i.e., report writing, placing buildings on test, etc.…)
  • · Assist with developing and training security officers. Perform needs analysis, arrange, coordinate, deliver, evaluate, and/or monitor security officer development.
  • · Visit the graveyard and swing shift officers and supervisors and keep them informed on the changes at TCS and within GSG

Other

  • · Perform other duties and responsibilities as assigned by GSG Management.

Requirements

The On-Site Assistant Account Manager position has the following requirements:

  • · 24 years of age
  • · Proficient in computer and smart phone usage
  • · Documents that establish identity
  • · Documents that establish authorization to work in the U.S
  • · Associates Degree or higher
  • · 3 Years Security or Related Experience
  • · 1 Year Scheduling Experience with a minimum of 336 weekly hours
  • · 2 years of progressively responsible supervisory experience in the security industry.
  • · Good driving Record that meets the requirements as set by the GSG Driver Authorization Policy.
  • · Proficient in Microsoft Office including Word, Excel and Power Point.
  • · Meet all requirements as required in the GSG Driver Authorization Policy.

Special Requirement

  • · Maintain valid registration as a security guard throughout employment.
  • · Maintain valid driver license in good standing and continue to meet all requirements of the GSG Driver Authorization Policy.
