This position involves advanced, specialized clerical work in the payment of accounts and in support of the administration of the financial affairs of the City.
Typical Duties
- Acts as an Administrative Assistant to the Purchasing Agent, interviews visitors and answers questions related to the department’s general operations.
- Receives invoices; examines and verifies all invoices for payment.
- Receives regular monthly bills such as utility bills; maintains log of locations and usage; verifies accuracy and processes for payments.
- Assists all departments with travel procedures and/or requests for travel reimbursement, and processing appropriate payments.
- Research and follow-up on invoices to assure timely payment and to respond to questions.
- Maintains files of all purchase orders paid and other such documents for the proper administration of the Finance Department.
- Operates computer, maintain files, memos, letters, reports, and other documents as directed.
- Assist Finance Director typing monthly reports and financial statements, resolutions, and commission request forms.
- Processes monthly billing on city property and vehicles.
- Maintains postage meter and processes daily mail.
- Manages fuel credit cards/accounts.
- Cross-trains with account receivable clerks.
- Other duties as required.
Requirements
Minimum Qualifications
High degree of computer experience in Excel, Word, Spreadsheets and processing programs is required. Completion of courses in bookkeeping or computer operations, or related field AND three (3) years of experience in clerical or account clerk experience or equivalent
Licenses and Certificates
Valid drivers licenses equivalent to a New Mexico Class D
Knowledge Skills and Abilities:
Knowledge of:
Bookkeeping, filing, account reconciliation, payment processing, principles, practices, and techniques of effective customer service, Proper use of the English language including grammar, composition, spelling, punctuation, and vocabulary; business and personal computers, as well as related software applications; City organization, operations, policies, and procedures to effectively perform the duties and responsibilities required of the assignment.
Skills in:
Microsoft Office, Excel, and other software programs, effectively managing related
programs and projects; analyzing issues, using initiative and independent judgment perform
highly effective support in assigned areas.
Ability to:
Work alone, staying on task perform a variety of duties and responsibilities and assess and prioritize multiple tasks, projects, and demands to meet deadlines; ensure appropriate levels of customer service to meet expectations and achieve objectives; and receive work direction; take initiative and exercise sound independent judgment within areas of responsibility; research and compile applicable information and maintain records; prepare and present accurate and reliable reports; establish and maintain effective working relations with co-workers and the public to achieve established goals and objectives
Physical Requirements
Work is primarily performed in a standard office environment, occasional hazards may exist,
including uneven ground surfaces. Light physical demands; mostly desk work, some lifting and carrying of files and reports. Frequent to constant use of a personal computer.
Working Conditions
Position involves competing demands, performing multiple tasks, working to deadlines, and
responding to customer issues. Regular attendance is an essential function of this job to ensure continuity of services. Position is subject to drug testing in accordance with applicable State and Federal regulations and City of Clovis policies.
