Job Description
Performs multi-dimensional administrative tasks that require creativity and independent, discretionary judgment to meet the needs of the Access Center. May act on behalf of leader on routine matters within established guidelines. Conducts and acts with a high level of service, for this role is the face of the Access Center to internal and external customers. Compose correspondence and create reports and helps in preparing analyses and reports based on the data. Participate in activities dealing with sensitive and confidential issues and information. Coordinate and enter requisitions/purchase orders into PeopleSoft or related system. Monitor inventory and order a variety of different office and technical supplies. Schedule appointments and coordinate meetings for Director and Access leadership staff. Supports Sharepoint, Onboarding and Offboarding processes. Reports to the Director, Access Quality and Training.
- Scheduling site tours, office visits and other meetings of this caliber
- Perform entire onboarding process (Zoom meetings, Interview scheduling and meeting schedules)
- Manager outlook calendars for leadership
- Attending leadership meeting and transcribing actionable meeting agendas and notes
- Creating excel and powerpoint presentations for leadership
- Ordering and ensuring supplies are in stock for all areas of the Access Center
- Managing daily schedules for large events
- Composing correspondence via email and in person
- Ordering computer and phone equipment
- Organizing schedules
- Booking conference room, training and office spaces
Qualifications
- Associates Degree preferred or experience in lieu of education
- Three years higher level previous administration/secretarial experience.
- Basic keyboard skills with proficiency in use of personal computer.
- Good interpersonal and organizational skills.
- Highly disciplined self-starter with solid collaboration & communication skills.
- Skills in Microsoft Office applications (specifically Power Point, Outlook, Work and Excel) is required.
- Some analytical skills regarding purchase order
- Detail-oriented with excellent organizational skills
