Administrative Assistant
***Full-time or Part-time Day Shift***
Eagle Flexible Packaging is seeking an Administrative Assistant to staff the front desk and provide general support for the offices of a busy flexible packaging manufacturer. The Administrative Assistant is often the “face of Eagle”, so it is essential that they are professional and represent the company well in all interactions. Monday-Friday day shift. Opportunity to work full-time or part-time.
Primary Duties and Responsibilities:
- Greet and direct all visitors, ensuring that they follow all appropriate sign-in procedures.
- Answer and direct calls placed to the facility.
- Sort and distribute all mail and small packages; coordinate UPS and FedEx shipments.
- Support Human Resources activities including but not limited to:
- Host onsite interviews, including administering and grading assessments.
- Lead new hire orientation and onboarding sessions, including management of new hire paperwork.
- Plan employee engagement events and activities (e.g., employee meals, celebrations, wellness activities, charity opportunities, etc.).
- Conduct exit interviews with separating employees.
- Monitor office, kitchen, personal protective equipment (PPE), and first aid supply needs and place orders as appropriate.
- Partner with customers and internal staff to plan and execute customer visits including press approvals; liaise with customers during visits.
- Act as the point person for and coordinate service from key vendors including but not limited to: landscaping / snow removal; phone and internet, electricity, and other utilities; security and camera systems; food and beverage vending; and custodial / cleaning.
- Support leadership with ad hoc projects such as special reports, appointment scheduling, travel planning, correspondence preparation, facility tours, and liaising with outside vendors and customers.
- Arrange for shipping on inbound and outbound freight when needed.
- Coordinate dock appointments and confirm need by dates to ensure materials arrive when needed and at the proper location.
- Ensure that all company food safety and quality assurance procedures are followed at all times. Escalate any issues/concerns to management.
- Other related duties as assigned.
Requirements:
- High school degree or equivalent (GED).
- Demonstrated strong customer service acumen with ability to positively and professionally represent Eagle with confidence in all interactions.
- Dependable, flexible, accountable, and proactive.
- Strong sense of personal integrity with ability to maintain the confidentiality of privileged information.
- Effective time management skills with ability to work independently and maximize productivity.
- Basic PC skills, including proficiency in word processing, spreadsheet, and email software with proven ability to learn new software programs.
- Strong sense of urgency to complete responsibilities with thoroughness, responsiveness, professionalism, and whenever possible, proactively.
- Professional proficiency in verbal and written English, including ability to effectively communicate with diverse individuals.
- Excellent decision-making and problem-solving skills.
- Strong attention to detail, critical thinking, and organizational skills.
- Excellent work ethic and willingness to learn.
Preferred Qualifications:
- Relevant office support experience.
- Bilingual in English/Spanish.
- Experience in manufacturing.
