The Learning House, a therapeutic day school located in Wheeling, IL serving junior and high school students, is seeking an Administrative Assistant/Receptionist to join our staff. The Learning House is a year-round program for students who have been determined eligible to receive special education under section 14.702 of the Illinois School Code in the categories of ED/LD/OHI. Job Description:
The Administrative Assistant greets and directs visitors and assists with a variety of office and student duties.
Essential Job Functions:
  • Welcomes visitors by greeting them, in person or on the telephone; answering or referring inquiries.
  • Directs visitors by giving instructions and providing refreshments as appropriate; informs staff of visitors.
  • Maintains security by following procedures and monitoring logbook.
  • Maintains safe and clean reception area by complying with procedures, rules, and regulations.
  • Files documents in appropriate student files.
  • Coordinates transportation for students with all taxi companies and company-hired drivers.
  • Greets students by name, takes attendance, and collects electronic devices belonging to each student as they arrive.
  • Assists during dismissal time of students.
  • Makes phone calls home to parents re: attendance issues and documents information.
  • Maintains student attendance records.
  • Provides general clerical assistance, including word processing, report generation, copying, filing, mail distribution, faxing, and data entry.
  • Monitors office supplies and equipment and reports needs to the Office Manager.
  • Drives students to and from school in school vehicles after obtaining bus driver certification. (paid for and arranged by the school)
  • Performs miscellaneous duties/responsibilities as delegated by the Office Manager and administrative staff.

  • Excellent telephone skills.
  • Strong verbal and nonverbal communication skills. (including effective listening, ability to inform others of conversations, and ability to document information accurately)
  • Microsoft Office Skills.
  • Ability to organize space and projects and maintain organizational systems.
  • Ability to handle pressure.
  • Excellent interpersonal skills.
  • Ability to multi-task.
  • Good driving record.

Qualifications:
  • Must have a minimum of a high school diploma.
  • Minimum 21 years of age and possessing a driver's license for a minimum of 3 years.
  • Bilingual skills (ability to converse in Spanish) a plus.
