POSITION SUMMARY:

This role will provide administrative support to the Vice Presidents within the Global Online Division. In this role they will be providing administrative support and managing the daily business of the department.


KEY RESPONSIBILITIES:

  • Organize daily workflow for assigned leaders.
  • Prepare and manage any correspondence, reports, presentations, etc. as needed. Organize and maintain filing system.
  • Manage Outlook calendars and handle all scheduling matters. Schedule appointments and meetings. Coordinate and update any meeting request changes that occur during the day.
  • Handle incoming telephone calls and take action as required. Screen telephone calls when appropriate and proactively handle any routine matters and other requests that can be dealt with.
  • Provide the needed administrative support to ensure effective and efficient meetings. Prepare agendas and issue meeting minutes when required. Gather and organize meeting materials in advance. Reserve conference rooms and work with Office Services for room-setups, audio-visual needs, security, transporting of materials, catering, etc. Similarly, partner with IT/AV for virtual meetings and events.
  • Coordinate travel arrangements and itineraries as needed.
  • Coordinate team meetings and event planning.
  • Process monthly expense reports. Manage incoming bills and statements related to expense report processing.
  • Order office supplies and handle other office related procurement activities as needed. Manage any bills and invoices related to departmental procurement.
  • Processing Invoices - obtain signatures and forward for processing
  • Assist with creating presentations and documents
  • Assist with projects as needed. These include data analysis and reports, spreadsheets, presentations, etc. Participate in meetings as necessary to gather required materials and information for assigned projects. Handle independent projects and other duties as assigned.
  • New Hire Processing, Onboarding, etc.

Qualifications
  • Position requires minimum of 5 years administrative experience in a corporate environment.
  • Must be committed to working in a team environment.
  • Must be able to support concurrent tasks across multiple groups.
  • Excellent attention to detail, follow up, and follow through.
  • Strong time management and prioritization skills
  • Must be proficient using Microsoft Office Suite.
  • Excellent interpersonal skills, including written and oral.
  • Must be detail oriented, flexible and adaptable to changes.
  • Sound judgment and decision making skills.
  • Able to handle superior level of confidentiality.
  • May require extended hours during peak project times.
