Position Highlights
The Administrative Assistant will provide office support for the University of Arizona Health Sciences (UAHS) New Economy Initiative focused on expanding medical/health science education to K-12 students in Arizona. The Admin Assistant will perform a variety of administrative duties including document preparation, scheduling meeting, event coordination, travel arrangements, record keeping, supply inventory and data entry. The position will provide guidance and assistance as needed to students, faculty as needed. This position will assist with events/activities/initiatives/requested services related to advancing the NEI K-12 Project, working with leadership, departmental contacts, and support staff as necessary. Due to busy work environment, position requires adaptability to change – able to be flexible and supportive, able to assimilate change positively and proactively while always ensuring professionalism and confidentiality.

Duties & Responsibilities
  • Greet visitors and guests and direct to appropriate area or person.
  • Answer main phone line, screen calls and direct to appropriate area or person.
  • Serve as liaison to faculty, staff, students, outside agencies and the public concerning information or questions.
  • Communicate events/activities/initiatives/requested services information to participants in a warm, welcoming and professional manner regarding meetings and events, as well set up and clear conference rooms after events.
  • Proficient computer skills in Microsoft Office Suite, Word, Excel, PowerPoint, Outlook.
  • Use appropriate resources and follow an issue through to resolution.
  • Prioritizes workload to meet work unit operations.
  • Maintain general office appearance.
  • Receive, stamp, and distribute incoming mail, and send outgoing mail.
  • Monitor, track, and schedule room reservations for conference rooms within the area, parking reservations, and golf cart calendar.
  • Responsible for inventory and ordering of office supplies.
  • Work with Information Technology Support Analyst, Senior to ensure all technology needs for staff are met, conference room audio/visual equipment, and day to day operations.
  • Operate and assist others with office equipment, including copiers.
  • Assist staff with general clerical needs.
  • Work independently and collaboratively to complete tasks.
  • Update contact lists.
  • Provide occasional backup for administrative personnel.
  • Assist with additional administrative projects and duties as needed.
  • Participates and assists in special projects as directed.
  • Other duties as assigned.

Knowledge, Skills, and Abilities

  • Skill in the operation of a variety of office machines including, personal computers, telephones and copiers.
  • Ability to effectively communicate.

Minimum Qualifications
  • High school diploma or equivalent, or equivalent learning attained through experience required.
  • Prior work experience not required.
