Job description
With limited supervision, perform a range of office support activities for the Physician Assistant program, including: answer phone and route calls; greet and direct students, adjunct faculty, and guests; answer questions that students may have; perform advanced word processing as assigned.
Essential Duties & Responsibilities
- Maintain a professional and aesthetically pleasing environment
- Maintain a high degree of confidentiality regarding the business of the University of St. Francis and its programs
- Provide direct clerical and administrative support to the Albuquerque campus, director, faculty and students as assigned
- Type minutes and reports of committee meetings as well as professional correspondence, reference letters and memos as directed
- Provide prompt courteous service to students, staff, faculty, and administration
- Maintain filing system that is appropriate for all users
- Screen, take messages, respond to, and direct phone calls and students to advisors
- Make reservations for meetings, schedule rooms and electronic technology assistance, and arrange food services for all Albuquerque events
- Assist faculty, adjunct instructors and students with computer problems/software questions
- Provide secretarial support to the Admissions Manager, including, but not limited to, interview packets, name tags, food, preparation of entrance files
- Maintain office equipment and supplies for the program
- Participate at in-service and other educational programs as assigned
- Perform miscellaneous job-related duties as assigned
- Participate in and promote a culture of continuing quality improvement
Minimum Requirements
- High school diploma or GED
- Two to three years’ administrative experience
- Proficiency in Microsoft Word, Microsoft PowerPoint, Group Wise Mail
- Demonstrate communication skills and ability to relate to the general public, students and faculty in a tactful and courteous manner
- Ability to work and act independently and meet deadlines
- Outstanding organizational skills
- Willingness to support the Catholic and Franciscan values of the university
- Ability to perform the physical requirements of the position
Preferred Requirements
PREFERRED QUALIFICATIONS
- Proficiency and experience with Microsoft Excel, Access, and Banner
- Two years’ work experience at an educational or medical institution
Hours/Shift/Work Schedule
This is a full-time position, 40 hours per week, Monday – Friday during normal working hours.

Physical Requirements of Position
Work is performed in an office setting with minimal exposure to health or safety hazards. Substantial time is spent working on a computer. This is sedentary work which requires the following physical activities: sitting, walking, bending, stooping, finger dexterity, repetitive motions, talking, hearing and visual acuity.
