The purpose of the Administrative Assistant - Public Works position is to provide complex clerical and administrative support to the Planning & Development Services Department. This is accomplished by maintaining a high level of support and customer service, preparing correspondence, preparing packets of information for council, boards, and commissions, and processing departmental purchases. Other duties include greeting and referring callers, maintaining calendars, ordering supplies, and completing other general clerical and administrative tasks. - Administrative Support: Performs complex support functions by entering data, making copies, ordering office supplies, preparing correspondence, scheduling calendars, arranging travel, maintaining files, and arranging meetings. Updates records and answers requests for service. Handles complaints and researches related items. Assembles packets of information for meetings.
- Customer Service: Completes customer service activities by answering the phone and taking messages, referring callers, processing requests for information, typing, entering and recording data and correspondence, and answering routine inquiries. Functions as the primary operator of the switchboard.
- Communication Support: Prepares emails, reports or newsletters for both internal and external use by reviewing information, preparing materials, entering information into databases, reviewing draft information, proofreading all materials, and submitting information to affected parties.
- Public Meeting Support: Must be available during evening hours twice monthly (Thursdays) to act as back-up Planning & Zoning Commission Secretary if assigned individual is unavailable to perform duties. These duties consist of ensuring that public hearings are held, assisting in collecting all comment cards from the public, instructing all speakers to state their name and address for the record, acting as a timekeeper during public hearing, and helping the chairman stay organized during the public hearing from comment cards received.
