Administrative Manager
Job description
The Administrative Manager will serve as executive analyst to the joint Gladstone-UCSF Institute of Genomic Immunology (GUIGI) director and the institute PIs located at UCSF. S/he assists in the administration and management of the basic science laboratories in the joint institute, The Administrative Manager plays a critical role on the executive team of the joint institute, navigating the requirements of two independent institutions, UCSF and the Gladstone Institutes, to independently formulate and execute tasks and strategies that support the joint institute’s overall goals. The Administrative Managerhas primary responsibility for the faculty coordination, lab administration, grants management, and research activities for the joint institute PIs located at UCSF. The position also coordinates Dr. Marson’s responsibilities as the Scientific Director at the IGI.
The primary functions of this position include administration of grants, personnel and lab center administration, event planning, coordination of philanthropic efforts for UCSF and IGI, and executive coordination for the lab/institute director.
Department Description
The Gladstone-UCSF Institute of Genomic Immunology is the result of a close partnership between Gladstone Institutes and the University of California, San Francisco (UCSF). With lab space both at Mission Bay and Parnassus, it creates a unified community across the two campuses and combines UCSF’s world-class immunology and planned cell therapy efforts with Gladstone’s expertise in the host-pathogen interface, iPS cells, computational biology, and CRISPR gene editing technologies.
The Innovative Genomics Institute (IGI) is jointly administered by UCSF and UC Berkeley and is composed of diverse researchers with a powerful combined expertise. After the development of the CRISPR-Cas9 system for rewriting DNA, the IGI saw the potential of applying this technology to solve some of humanity’s greatest problems. IGI scientists conduct world-class research, driven by the real possibility to cure human disease, end hunger, and protect the environment.
Required Qualifications
- Bachelor's degree in Finance, Accounting, Business Administration or in a related field and 3 or more years of experience in administrative analysis or operations research or an equivalent combination of experience / training .
- Proven ability to communicate with diverse groups including excellent written, verbal and problem solving skills.
- Advance knowledge of MS Office including Word, Excel, Outlook and PowerPoint with proven ability to use tools as an efficient and effective means of preparing and presenting project outcomes.
- Highly organized and advanced ability to prioritize projects to meet the demands and deadlines of a fast-paced and dynamic work environment.
- Interpersonal skills including the ability to motivate, negotiate with and collaborate with colleagues, vendors, donors, students and others in a diverse institution. Ability to work both independently and as a member of a team.
Preferred Qualifications
- Experience managing and administering budgets.
- 1-2 years writing experience in an academic scientific setting.
- Thorough knowledge of University rules and regulations, processes, protocols and procedures for budget, account and fund management, personnel management.
- Thorough knowledge of financial analysis and reporting techniques, human resources policies and procedures for staff and academic employees.
- Knowledge of common University-specific computer application programs; and the ability to use PC and Mac computers
- Familiarity with NIH and DHHS Grants Policy Statements and OMB circular; era Commons, Grants.gov, Faslane, Proposal Central, and other grant portals
- Previous program development responsibilities in a scientific setting
- Experience with PubMed and PubMedCentral, MyNCBI and EndNote
- Familiarity with UC academic and staff polices an procedures or those of an equivalent institution
- Experience with UCSF Financial systems
