Summary/Objective
Essential Functions
-
General Administrative duties, including but not limited to processing mail; answering phones; managing calendars, scheduling meetings, interviews, appointments and travel calendar for the executive directors, (including making arrangements); transcribing correspondence; organizing and maintaining filing systems; making on-campus deliveries.

Event staffing and assistance including preparing materials, providing on-site assistance, and interacting with and assisting university guests. Inputting event data in CRM; creating events and managing data in Engaging Networks

Drafting internal and external emails, messages, memoranda, and PowerPoint presentations related to projects, policies or activities of University Advancement. Data input into CRM.

Meets regularly with Cohort Assistants (three development and alumni relations senior staff assistants).

Other duties as assigned.
Supervisory Responsibility
-
The Advancement Program Assistant has no supervisory or budgetary responsibilities, but may coordinate work-study students on specific projects.
Work Environment

The Advancement Program Assistant reports to the Executive Director of Campaign Engagement

Salary Range
- Commensurate with experience.
Required Education and Experience
-
A high school diploma plus at least three years’ work experience providing administrative support, or equivalent in education, training and experience, are required.

Internships, summer jobs, and other volunteer activities may be considered toward this requirement.
Preferred Education and Experience
-
Excellent oral and written communication skills. A writing sample may be required.

Attention to detail in project management and proofreading.

Courteous and pleasant demeanor on phone and in person
-
Discretion and confidentiality
-
Ability to handle multiple projects simultaneously in a deadline-oriented environment.

Proficiency using MS Office suite, especially with Word, Excel, and PowerPoint This position will be expected to use these tools to complete tasks with minimal supervision or direction.

This position requires a basic understanding of higher education development work and the ability to think analytically.

Strong organizational skills and strong oral and written communication skills are required.
