LEASING CONSULTANT

General Duties and Responsibilities:

  • Assist Community Manager with the daily operations of The Residences at Harpeth Square including, but not limited to, the general administration, leasing and occupancy, maintenance of the property (including retail and restaurant) with a specific focus on ensuring all potential and existing residents receive exemplary customer service.
  • As directed by Community Manager, assist in response to emergency situations, during standard operating hours, contacting appropriate Regional Managers, maintenance staff, vendors, tenants or other agencies as instructed.
  • Complies with communication system involving transactions and activities between tenants and Community Manager.
  • Supports and ensures timely input, proper use and full utilization of on-site PC-based property management and time-keeping software systems.
  • Maintains a working knowledge of all maintenance programs including preventive maintenance programs, housekeeping functions and responses to resident service requests. Ensures compliance with housing quality standards. Coordinates with building maintenance associates on all maintenance issues.
  • Assists in move-in and/or move-out inspections of apartments and maintains on-site records. Assists in interim unit inspections as directed.
  • Physically inspect property, interior and exterior, on routine and regular basis as directed by Community Manager, pick up litter and report any service needs to building maintenance associate, to include cluttered patios, inoperable vehicles, broken windows, water leaks, etc.
  • Attend local merchant, apartment, owner’s associations, etc. events when appropriate.
  • Answer all incoming telephone calls.
  • Maintain office supply inventory.
  • Full administrative support including phone support, reports, filing, distribution of correspondence.
  • Assist in lease admin activities including abstracting leases and keeping database current.
  • Ensure all property files are prepared and maintained in orderly and logical manner.
  • Prepare and coordinate bid proposals and service contracts.
  • Obtain aging reports for management and follow up on all delinquencies utilizing client directed policies.
  • Coordinate tenant move in and outs including furniture delivery and pick up.
  • Tenant service package including tenant handbooks, tenant anniversaries, holiday gifts, courtyard events, quarterly newsletters and training/meetings or programs for new tenants.
  • Ensuring tenant information within data base is current and up to date.
  • Update and maintain office procedures in property operations procedure manual under direction of Community Manager.
  • Ensure certificates of insurance for tenants and vendors are up to date and accurate including additional insureds and liability limits.
  • Oversee processing of management and maintenance staff hours, expense reports, check requests for review approval.
  • Ensure above standard tenant bill backs for electrical usage, after hours HVAC and other similar charges are processed in timely manner.
  • Leading regular inspections of properties with janitorial and landscape providers and other service provider as directed by Community Manager
  • Perform oversight of service contractors who perform routine and one-off services.
  • Maintain positive relationship with restaurant, hotel and retail tenants.

Resident Relations:

  • Maintains positive, professional customer relations attitude at all times.
  • Document all resident communications (verbal and written) in computer.
  • Assist in arranging and attend community tenant relations events.
  • Ensure tenant maintenance requests are resolved within 24 hours unless an emergency situation such as active water leak, HVAC outages in extreme weather conditions, etc. or other as defined in policy and procedures. Conducts service follow-up with resident when work is completed to ensure tenant satisfaction.
  • Provide recommendations to Community Manager for elevating the tenant experience including customized concierge services. Implement and manage as directed. Services may include but are not limited mobile pet grooming, event reservations, services while tenants are away (plant watering, service installation appointments, etc.), assist with party planning, accepting large deliveries, picture hanging, etc.
  • Provide highly personalized attention and customer service to all existing and prospective tenants.
  • Monitor package delivery room and ensure dayporter is delivering packages on daily basis.

Financial:

  • Collects rent from residents, verifies amounts paid, accounts for discrepancies, deposits rent daily (as needed), sends verifying information to Corporate Office and follows up on any delinquent rents,
  • Code accounts payable invoices as directed by Community Manager.
  • Assist Community Manager with aspects of annual budgets prep and monthly financial reports as well as preparation of bank deposits as necessary.

Marketing and Leasing:

  • Maintain a professional, yet friendly atmosphere in the management and leasing office and other areas where residents and prospective applicants meet.
  • Inspect models and ready vacancies daily to ensure cleanliness as directed by Community Manager.
  • Answers incoming phone calls from prospective new residents, current residents, vendors/suppliers, principles, etc. providing timely response to all requests.
  • Greet prospective residents, qualify and determine their needs and preferences, professionally present the Town of Franklin, community and specific apartment(s) while pointing out features and benefits.
  • Complete Guest information form on all prospects, send thank you notes and perform follow up.
  • Enter phone and walk in traffic from guest cards into the computer daily.
  • Maintains awareness of local market conditions and trends. Contributes ideas to Community Manager for marketing property and improving resident satisfaction.
  • Provide creative elevated ideas for social media presences.
  • Process tenant applications in accordance with company policies as directed by Community Manager.

Administrative:

  • Inventory office supplies on a weekly basis. Report needs to Community Manager.
  • Organize and file appropriate reports, leases and paperwork daily.
  • Accepts service requests from residents and routes to maintenance for prompt processing.
  • Conducts service follow-up with resident when work is completed.
  • Accompany outside vendors on service request calls for occupied apartments when necessary.

General:

  • Performs any additional duties assigned by Community Manager or Property Supervisor.

Qualifications:

  • Requirements include maintaining good leasing and closing skills, being and staying organized.
  • Must have basic computer knowledge.
  • One (1) year on-site experience as Leasing Consultant required
  • Experience driving sales through social media
  • Ability to solve problems involving residents, personnel, finances, equipment failure, and emergency situations while remaining calm, rational, and professional
  • OneSite and Realpage experience is preferred.

Work Hours:

  • Employees will be required to work a flexible work week which often includes weekends and holidays. Employees work 20-40 hours per week depending on full or part-time status. Overtime must be approved by your supervisor prior to working over 40 hours.
