SUMMARY
Provide administrative, operational, and human resources support.
ESSENTIAL DUTIES AND RESPONSIBILITIES
Include the following:
- Creates purchase request for supplies via Credit Card Purchasing System (CCPS) and vendor website.
- Sends request for conferences to be approved.
- Submits approval forms for registration fees to be paid.
- Prepares requisitions and processing them as needed and following up with them making sure they get approved by the awarding officer.
- Trains others on how to use and the steps necessary to complete a requisition.
- Coordinates with organizations to coordinate sponsored travel.
- Keeps track of travel expenses and making sure it aligns with our budget for this fiscal year.
- Books travel for multiple clients, including multi destination trips, using several systems and undergoing multi approval process.
- Updates travel spreadsheet daily to meet the needs of the division.
- Completes vouchers upon travelers return to ensure that they are fully reimbursed for all government related travel.
- Processes and keeps track of documentation for fellows extending their appointment.
- Processes and keeps track of several non-FTE forms for new fellows soon to be hired.
- Reaches out to fellows to follow up with on boarding and out processing.
- Reaches out following up with the division POC to turn in all required documentation.
- In-processes, out-processes fellows as needed.
- Submits badge request for FTE employees.
- Inputs time and attendance.
- Continues submitting all timesheets on time biweekly.
- Coordinates weekly meetings with leadership to discuss all administrative topics, upcoming travel, travel budget, and upcoming projects.
- Processes general service request orders.
- Collects badges from employees that have left and returns them to the badge office.
- Performs other job-related duties as assigned.
SUPERVISORY/MANAGEMENT AUTHORITY
No supervisory or management authority.
EDUCATION AND EXPERIENCE
Bachelor’s degree preferred or high school diploma and at least four (4) years of experience.
KNOWLEDGE, SKILLS AND ABILITIES
- Proficient in Microsoft Office Suites (Word, Excel, Outlook, PowerPoint)
- Excellent written and verbal communication.
- Attention to details.
- Successfully pass a federal background check and a drug screen
- Cherokee Federal employees are included as covered employees in U.S. Presidential Executive Order 14042, which mandates Covid vaccines for federal contractors. Executive Order 14042 is currently blocked from enforcement pending court proceedings. Therefore, Cherokee Federal is halting the application of the mandate; however, if the injunction is lifted, Cherokee Federal will restore administration of the vaccine requirement.
WORK ENVIRONMENT
Work will be performed in a climate-controlled office and laboratory environment.
