Inspire Physical Therapy & Wellness is a holistic physical therapy private practice serving Southeastern Michigan. Our mission is to empower clients with the knowledge and skills to trust in their body and in the care they receive. We serve with a level of personalized care aimed to inspire each client's ability to adapt with resiliency and reach goals with less pain and more freedom! Responsibilities
- Oversee the daily operations of the physical therapy clinic, ensuring smooth and efficient functioning.
- Coordinate and schedule patient appointments, ensuring optimal utilization of clinic resources and staff availability.
- Manage patient registration, intake, and billing processes, including verifying insurance coverage and collecting co-pays.
- Maintain patient records and ensure compliance with privacy regulations, such as HIPAA.
- Coordinate with healthcare providers, therapists, and support staff to ensure seamless patient care delivery.
- Order and manage clinic supplies and equipment, ensuring availability and functionality for therapeutic procedures.
- Monitor and manage inventory levels, including medical supplies, office supplies, and equipment.
- Manage and reconcile financial transactions, including invoicing, billing, and tracking expenses.
- Implement and maintain efficient filing and record-keeping systems, both electronic and physical.
- Support marketing and promotional efforts, such as coordinating community outreach programs or organizing events.
- Ensure compliance with clinic policies, procedures, and industry regulations.
- Handle customer inquiries, complaints, and concerns, providing timely and satisfactory resolutions.
- Foster a positive and professional work environment, promoting teamwork and open communication.
- Collaborate with the clinic owner or management team on strategic planning and goal setting.
Qualifications
- Strong organizational skills: The administrative staff in a physical therapy clinic should have excellent organizational abilities to handle various tasks, including scheduling appointments, managing patient records, and maintaining the clinic's administrative systems.
- Proficiency in medical software: Familiarity with medical software systems used for scheduling, electronic health records (EHR)
- Excellent interpersonal skills: The administrative staff interacts with patients, healthcare professionals, and other staff members regularly. Strong interpersonal skills are necessary to provide excellent customer service, handle patient inquiries, and collaborate effectively with the clinic team.
- Attention to detail: The administrative staff should have a keen eye for detail to avoid errors and ensure the smooth functioning of the clinic.
- Ability to multitask: The administrative staff often faces multiple responsibilities simultaneously, such as answering phone calls, scheduling appointments, and managing paperwork. They should be capable of handling multiple tasks efficiently and prioritize them appropriately.
- Confidentiality and ethical behavior: Patient confidentiality is crucial in healthcare settings. Administrative staff must adhere to ethical guidelines, maintain patient privacy, and handle sensitive information with utmost care.
- Problem-solving skills: The ability to identify and resolve issues that may arise in scheduling, billing, or patient interactions is essential. Administrative staff should be proactive in finding solutions to problems and be resourceful in their approach.
- Basic knowledge of insurance and billing processes: Familiarity with insurance procedures, including verifying coverage, submitting claims, and following up on reimbursements, is beneficial in ensuring smooth financial operations in the clinic.
- Flexibility and adaptability: Physical therapy clinics can have unpredictable situations and varying patient volumes. The administrative staff should be adaptable and flexible to adjust schedules, handle emergencies, and accommodate changes.
- Strong communication skills: Clear and effective communication is essential for coordinating with patients, healthcare providers, insurance companies, and other team members. Administrative staff should possess strong verbal and written communication skills.
- Understanding of HIPAA regulations: Familiarity with the Health Insurance Portability and Accountability Act (HIPAA) is crucial to ensure compliance with patient privacy regulations. Administrative staff should understand the importance of maintaining confidentiality and follow HIPAA guidelines.
- Customer service orientation: The administrative staff serves as the initial point of contact for patients. They should have a customer service mindset, displaying empathy, patience, and a willingness to assist patients in their inquiries and concerns.
