Job description
Responsibilities include ensuring professional level presence in Centerstone Family Wealth Advisors front office for provision of direct customer service for a variety of walk-in clients (such as clients with appointments as well as contractors & vendors) and provision of administrative support for the numerous back-office transactions in support of business operations. This includes responding to ad hoc requests, coordinating/tracking projects and/or managing business as usual projects such as scanning, filing (electronically and otherwise), mail handling and distribution, copying, researching printer and office equipment problems, preparation and stocking of conference rooms and other office areas and organizing the logistics of a client seminar/event. In addition, duties may include, but not limited to creating marketing materials and assisting with special events, updating the website, maintaining and optimizing various social media platforms.
Essential Position Functions:
- Prepare correspondence for advisor signature.
- Populate data into spreadsheets/reports as needed.
- Support with business follow-up and corporate sent issues
- Schedule client appointments and support the preparation of agendas/forms for appointments.
- Conduct client appointment reminder calls and check-in calls on follow up items.
- Assist the Business Planning Assistant(s), Advisor(s), Office Manager, and CEO, and perform duties as assigned by same.
Client Care / Business Management / Marketing Administration
- Greet clients upon arrival and extend hospitality to clients.
- Answer, screen, and transfer phone calls
- Set up and maintain client relationship management system up to date
- Receives and processes, checks from clients and all incoming and outgoing mail.
- Write notes or letters, of administrative nature only, to clients on Centerstone Family Wealth Advisors letterhead and administer client appreciation actions.
- Document client contacts & calls.
- Track client special events and make appropriate contact per established client contact model.

- Computer literacy and ability to learn new electronic programs and platforms utilized within Ameriprise and local office environment
- Strong presentation and public speaking skills
- Positive attitude and sincere willingness to constantly learn and grow
Education and Other Requirements:
- High School Diploma (or equivalent) required
- BS in related field, or equivalent, is preferred but not required.
- 1-year related work experience in a client service environment preferred
- Proficiency in Microsoft Office PowerPoint, Publisher, Word, and Excel experience preferred
- Proficiency in social media platforms
