· Oversee and coordinate all real estate transactions through closing

· Prepare all new Listing and Under Contract folders

· Prepare and maintain all files in a neat and orderly fashion

· Coordinate, monitor and follow up on all sales/escrows/closing files

· Coordinate property inspections and follow ups with contractors

· Maintain business supply inventory

· Maintain business affiliate relationships (lenders, title companies, contractors, etc)

· Monitor weekly, monthly and yearly goals

· Responsible for all data entry and reports

· Manage all incoming and outgoing correspondence

· Ask for referrals for the agent

· Maintain office administration spreadsheets and tracking systems

· Log, track, assign, and remove lockboxes

· Maintain and improve Office Policy and Procedure Manual

· Run errands: office products, lunches, events, etc.

· Provide support to agents and brokers during the sales process, including preparing/scanning documents, scheduling appointments, and sending emails.

· Maintain client database (CRM) and communicate with customers, other agents, and service providers throughout the closing process.

· Maintain electronic and hard copy filing system

· Open sort and distribute incoming correspondence

· Manage calendar for entire team

· Type and maintain weekly team meeting minutes

· Prepare and modify documents including correspondence, reports, drafts, memos and emails to agents, clients, vendors/contractors, etc.

· Assist with scheduling showings, open houses/broker events, signings, appraisals, and service provider appointments

· Administrative duties, to include copying, answering the phone, filing, and sending/receiving emails.

· Monitor and manage the Property Management and Marketing side of the business along with it’s respective employees

· Attend Agent Team Meetings.

· Other job duties as assigned.

· May or may not be a licensed Realtor.

Requirements:

· Excellent organizational skills to work independently and manage projects with many moving parts.

· Minimum 2 years experience in similar field or capacity.

· Strong organization & scheduling skills

· Excellent communication skills (written and oral)

· Proficient with technology such as Microsoft Office and Google Apps. Experience with other real estate technology preferred.

· Candidates must be organized, resourceful, detail-oriented, with a friendly focus on customer service.

Job Type: Full-time

Pay: $15.00 - $17.50 per hour
