Job Title: Customer Service Administrator/Office Assistant

McCloud Aquatics – Elburn, IL

McCloud Aquatics is engaged in aquatic weed control and pond/lake management services, as well as aeration and fountain products.

Currently seeking a part-time or full-time applicant for a minimum of 24 hours per week, Mondays, Wednesday & Fridays, with the potential of possibly becoming full-time. Schedule is flexible.

Summary: Responsible for relaying incoming phone calls and performing diversified clerical duties in a professional manner. Support our company goals through exceptional customer service and maintaining relations with existing accounts. Other duties include assisting in marketing and accounting.

Duties and Responsibilities:

  • Coordinates and monitors office operations to ensure company requirements are sufficiently met on a daily basis.
  • Answers phones and takes accurate messages, transfers and/or dispatches requests in an efficient manner.
  • Applies knowledge of company products/services to efficiently process customer inquiries and complaints in a diplomatic manner.
  • Monitors office procedures and resolves problems through collaboration with pertinent contacts.
  • Creates and/or assists in creating proposals in a timely manner.
  • Enter new customers and schedules in systems.
  • Maintains all customer and company files including filing and updating information in computer.
  • Maintains accurate customer information in database according to company procedures.
  • Billing functions; generates invoices for mailing.
  • Researches discrepancies and debit memos to accurately process, issue and post credits/debits to customer accounts as necessary.
  • Initiates, tracks and maintains all records/files associated with collection activities for each account to include negotiated payment schedules, telephone call documentation and collection letters.
  • Researches and responds to all account receivable inquiries in a prompt manner and maintains all records related to accounts receivable.
  • Assists in month closing by assuring all appropriate information is data entered into compute.
  • Performs other related duties as assigned.
