SUMMARY:
The Data Entry Assistant/Research Specialist is responsible for organization and transmission of legal documents to medical, billing and business record custodians to initiate timely production for use in civil litigation. This process includes but is not limited to submission of subpoenas and custodian instructions to guide prompt compliance.
ESSENTIAL FUNCTIONS:

- Send Notices of Intention, subpoenas, authorizations and other legal documents to custodians of records, through various service and transmittal methods, requesting timely document production.
- Attach required witness fees and prepaid custodian fees as necessary.
- Organize interoffice work order packets for team use.
- Denote priority cases for easy identification.
- Maintain the company database by documenting actions taken and custodian preferences.
- Use the database and other tools to oversee assigned workload and backlog.
- Delete records for settled cases from the record repository.
- Safeguard confidentiality of medical records and comply with all local, state, and federal laws pertaining to medical records.
- Assure compliance with all HIPAA regulations concerning use, retrieval, storage and sharing of medical records.
- Assist in training or cross-training employees.
- Any other duties of a similar or lesser nature as required.

- General computer skills (Outlook, Word, Adobe Acrobat, Internet Explorer, Windows).

- Ability to work with deadlines and work well under pressure.
- Works collaboratively with all members of management to resolve departmental and organizational challenges expeditiously, economically, professionally and with minimum disruption to the practice.
- Accepts direction well.
- Excellent attendance and punctuality.
- Constantly strives to achieve excellence in day-to-day operations of respective department.
- Familiarity with subpoenas, written depositions and affidavits a plus.
EDUCATION / EXPERIENCE:
- High school diploma or equivalent required.
- Adheres to compliance policies.
- Constantly strives to achieve excellence in day-to-day operations of respective department.
- Experience working in a multi-function, multi-geography environment preferred.
SUPERVISORY RESPONSIBILITIES:
The Data Entry Assistant/Research Specialist has no supervisory responsibilities.
LANGUAGE SKILLS:
Ability to effectively present information and respond to questions from internal and external customers whose first language is English.
