Administrative Specialist

As Jogan Health grows, we continue to look for talented professionals from a variety of backgrounds to provide holistic solutions to our clients. We are currently seeking an Emergency Management (EM) Administrative Specialist. This is a full-time role based in Englewood, COthat will require travel (25%-30%) to client sites, conferences, incident locations within and outside of the worksite. Jogan Health’s Administrative Specialist supports this mission by coordinating administrative and fiscal roles within the Emergency Management Division of Jogan Health and reports to the Emergency Management Division Director.

To help support our growing portfolio of work, we are looking for an experienced professional to join the team. This individual will provide executive administrative support, development support, project management, field and orchestrate EM issue resolution, coordinate with clients, support EM team members, and contribute to thought leadership and business development.

The responsibilities of an Administrative Specialist include, but are not limited to:

  • Assist on portions of projects and ensure all aspects are completed as outlined in the contract scope of work and timeline.
  • Attending meetings and conference calls with clients as needed.
  • Maintain and create all appropriate records.
  • Support EM business development efforts and liaison with internal and external stakeholders.
  • Serve as an internal Point of Contact (POC) for the Emergency Management Division.
  • Respond to and initiate and resolve inquiries (questions regarding purchasing, personnel, facilities, administration, specialized programs, etc.) Explain policies, answer questions, and independently resolve problems whenever feasible.
  • Collaborate with marketing in preparing presentation, promotional materials for use by others, editing content and adding appropriate graphic and design elements. These responsibilities may include creating basic web content.
  • Compose and/or prepare correspondence, memoranda, forms, newsletters, manuals, and reports using appropriate word processing and spreadsheet tools. Perform basic statistical calculations on data for reports and presentations.
  • Assist with grant proposals and serve as a resource for information related to the administration of grants and contracts.
  • Perform specialized administrative duties required to support the specific program area, using discretion to make judgments based on operating guidelines. Support purchasing requirements for department, researching items, and obtaining price quotes, entering information into Sales Force Automation (SFA), receiving purchase orders, and maintaining P-Card information as required.
  • Support human resource and payroll processes as a primary contact or backup for payroll preparation or certification, leave tracking, appointment papers, and other requirements.
  • Arrange and coordinate travel and travel reimbursement for staff.
  • Compile and maintain information that may require web or library researching, gathering, compiling, and updating data and records.
  • Serve as a NIMS Finance and Administration Section Chief for onsite deployable responses.
  • Maintain currency of and ensure compliance with applicable state and federal policies, procedures, and guidance documents for applicable roles.
  • Manage all financial aspects of an incident.
  • Collaborate with Finance and Accounting in managing the funding process and ensuring that all financial practices and accounting records are in conformance with the organization's practices and procedures and generally accepted accounting principles are utilized.
  • Partner with Finance and Accounting in utilizing different financial and information systems to report, analyze and process financial data, and records pertinent to key stakeholders.
  • Provide advice and solutions to managers on difficult financial issues.
  • Collaborate and partner with Finance and Accounting in providing financial and cost analysis information as requested.
  • Gather pertinent information from briefings with responsible agencies.
  • Meet with appropriate stakeholders and provide reports and updates as needed.
  • Maintain contact with clients on Finance/ Administration matters.
  • Ensure that all required documents are properly prepared and completed.
  • Brief appropriate partners on all incident related financial issues needing attention.
  • Perform all other duties and special projects as assigned.

Ideal candidate must have the following:

  • Three (3) or more years of experience in emergency management, economic development, resilience, public health, administration, or a related field.
  • Bachelor’s degree or higher. Experience can be supplemented.
  • Strong professional written and verbal communication skills (writing prompt is required as part of the interview process).
  • Proven ability to conduct polished business development, provide excellent customer service, and maintain client/professional relationships/partnerships.
  • High proficiency in Microsoft Office Suite products (including Word, PowerPoint, and Excel).
  • Experience with Sales Force Automation
  • Experience serving in a supervisory capacity for projects, including managing budgets.
  • Able to remain calm and poised under pressure, work successfully on multiple priorities simultaneously, and remain focused when working under tight deadlines.
  • Consulting experience at the federal, state, local level of government, universities and/or private sector.
  • Emergency Management certifications i.e., CEM, State equivalent, ICS Finance & Admin Section Chief, PMP, etc.

Job Type: Full-time

Pay: $50,000.00 - $60,000.00 per year
