Job Title: Office Administrator

Department: Sales/Operations
Accountable To: Vice President of Sales
Status: 40 hrs/week
Compensation: starting at $20.00 per hour

Position Summary:
This is a position in the Meetings & Events industry. Enthusiastic, results-oriented Office Administrator with excellent organizational, computer, and administrative skills to provide administrative support to the sales and operations teams. This event industry position requires regular interaction with clients, vendors and hotel partners. Responsible for assisting in the sales, coordination and execution of tours and events. The team member assists with proposals, research, filing, booking travel, managing appointments, emails, etc. Must be creative and very computer savvy. Applicant must have reliable vehicle and feel comfortable driving in all elements to/from Reno and South Lake Tahoe.

Essential Duties and Responsibilities

· Provide support for proposal development, design, research and vendor vetting process

· Assist Operation Mangers as needed with creation of guide paperwork, signage and program packets (deliver and pick up from Reno office as needed)

· Schedule all program staff and manage paperwork pick up times/locations

· Oversee part-time employee hiring paperwork

· Create program files, vendor files and general filing

· Check in linen orders and prepare for pick up

· Sign out staff uniforms and ensure dry cleaning is done on return (drop & pick up of dry cleaning)

· Prepare weekly meeting agendas, schedule vendor presentations, participate in weekly meetings

· Create coolers and snack baskets for groups. Deliver and pick up from Reno & Tahoe hotels for programs

· Create amenity baskets (groups, clients, site visits)

· Order office supplies and manage inventory for event needs

· Assist sales with client prospecting

· Assist with CVB Fam events and trade shows when during standard office hours

· Maintaining a good working relationship with all vendors and service providers

· Data entry within company wide database

· Assist with final billing as needed

· Management of client program survey and dissemination of the results

· Assist in the updating of tariffs with new pricing at the beginning of each season

· Complete quarterly reports

· Source content for newsletter

· Assist with general office projects that relate to programs when needed (picking up or dropping tickets off, working at Hospitality desks, dropping & picking up items at hotels)

Additional Responsibilities
Other office duties include but are not limited to: Answering and screening phone calls, sorting incoming emails, faxes, picking up mail and/or packages, etc., making travel arrangements, writing proposals, set up or tear down of linens, advancing venues and assisting other employees as needed.

Qualifications: Minimum Requirements:

· Ability to work on multiple projects simultaneously

· Exceptional verbal communication skills and ability to build relationships over the phone and in person

· Demonstrated proficiency using Excel, Word and Power Point

· A strong customer service orientation and a passion for the hospitality and special events

· Has the ability to assist in the detailed daily operations with an ability to work under pressure managing multiple tasks while creatively solving problems with poise and grace

· High school Diploma

Desirable (but not required) Experience/Skills:

· Previous Destination Management or related hospitality industry experience

· Hotel or service industry experience
