Job Title: Executive Assistant
Reports to: Chief Executive Officer

Responsibilities
Listing Management
- Oversee all aspects of listing launch from initial contact to the executed purchase agreement.
- Prepare all pre-listing materials when ready as in printing and binding: preparing your home for market presentation
- Prepare and bind, comparable market analysis marketing presentation
- Conduct listing agent AVID
- Coordinate with sellers on scheduling staging (when necessary), property photos with photographer, repairs, cleaning, signage, lockbox, access requirements and marketing activities.
- Communicate weekly feedback to sellers regarding all showings and marketing activities.
- Coordinate all public open houses and broker open houses.
- Input all listing information into Tour Factory and update as needed.
- Coordinate with Transaction Coordinator for documentation such as seller disclosures.
- Input all necessary information into client database and transaction management systems.
Marketing
- Manage client database management program & system.
- Prepare buyer consultation packages for agents when asked.
- Coordinate the preparation of all listing and open house flyers, graphics, signage and all other marketing materials.
- Manage and update agent website(s), blog(s) and online listings.
- Oversee social media activity – including weekly posts, videos and closing/listing posts.
- Coordinate all client and vendor appreciation events.
- Manage agent follow-up for client testimonials for websites, social media and other marketing materials.
- Coordinate and implement agent marketing videos and property videos on website(s), blog(s), social media and client database email campaigns.
- Oversee closing gift ordering/wrapping and photography when delivered.
Administrative
- Oversee all aspects of the administration of the Team business.
- Create and manage all systems for sellers, buyers, client database management, lead generation tracking, lead follow-up & all office administration.
- Make commission bank deposits and communicate CDAs with Bookkeeper
- Coordinate expense reimbursement
- Coordinate the purchasing of any office equipment, marketing materials and any other business-related supplies and materials.
- Create & update a business operations manual and all job descriptions/employment contracts for any future hires.
- Assist and coordinate the recruiting, hiring and training of new team members Hold agent(s) accountable for conducting all agreed upon lead generation activities.
- Management of Google Calendar for the Team
- Ensure that all agent activities are limited to listing property, showing property, negotiating contracts & lead generation.
- Oversee all vendor communications – i.e. pest companies, handyman, sign installation etc.
Experience Requirements
- Bachelors degree or 4 years of experience
- 2 years Executive Assistant experience
- Detail Oriented project management
- Willingness to learn everyday
- Expert in Microsoft Office, email and digital communication tools
- Very adept in managing Social Media marketing
Job Type: Full-time
Pay: $21.00 - $25.00 per hour
