Overview of Position
The job of High School Fiscal Specialist is done for the purpose/s of providing an array of fiscal services for the high schools funds, including building fund, ASB, all grants and endowments; conveying and updating fiscal information; and ensuring that fiscal practices are followed and disbursement of funds are within proper and legal guidelines. Directly supports the Principal on building funding budget.
Essential Functions
- Assists budget committee in analyzing building fund (e.g. analyze past data, current needs, size of enrollment, staffing needs, etc.) for the purpose of allocating funding for school operations for the coming year.
- Collects funds from classroom and student activities (e.g. lab fees, art fees, wood shop fees, workbooks, field trips, library fees, etc.) for the purpose of ensuring the accuracy and timely completion of transactions.
- Compiles spreadsheets of deposits to building fund for the purpose of reconciling that the appropriate monies are broken out and moved to the current funds.
- Establishes bookkeeping processes at the beginning of each year (e.g. sets up all budgets, filing systems, general funds, ASB books, etc.) for the purpose of facilitating data entry during the school year.
- Maintains financial records related to student activities and/or events (e.g. ticket sales, yearbooks, dances, fundraisers, club activities, student projects, etc.) for the purpose of ensuring completeness and availability of records and compliance with district policy and established regulatory guidelines.
- Maintains multiple checking accounts and reconciles deposits; reports to Principal and accounting.
- Monitors financial procedures with individuals responsible for school site financial operations (e.g. student activities, fund raisers, bookstore, athletic department, student clubs, etc.) for the purpose of providing services within established guidelines.
- Monitors the Saal Hass school scholarship fund (e.g. auditing funds, evaluating matching programs, making bank deposit, paying bills, etc.) for the purpose of reconciling fund with the foundation and the school.
- Deals with vendors at all levels to order school supplies (e.g. create invoice, check in shipment, stamp books, etc.) for the purpose of maintaining supplies for the school use.
- Oversees Compliance of ASB functions and fundraisers for the purpose of ensuring that activities are appropriate and meet high school fundraiser criteria and State and District rules.
- Prepares written materials and electronic financial information (e.g. account status by club, activity ticket revenue, student fees, gifts and grants, general funds, etc.) for the purpose of documenting activities, providing reference, conveying information, and complying with established financial, legal and/or administrative requirements.
- Process requests from teachers and principal regarding overtime for the purpose of ensuring that appropriate codes are applied.
- Processes financial information (e.g. purchase orders, check requisitions, bank deposits, etc.) for the purpose of updating and distributing information, authorizing for action and/or complying with established accounting practices.
- Reconciles end-of-year students and teachers outstanding fines, invoices, and fees for the purpose of ensuring that all financial responsibilities are met and that seniors meet the requirement to graduate.
- Researches discrepancies of financial topics and/or documentation (e.g. purchase orders, invoices, statements, etc.) for the purpose of ensuring the accuracy and adhering to established procedures prior to processing.
- Responds to inquiries of the principal, teachers and students regarding the availability of funds in specific areas and suggests alternatives funds if money is needed for the purpose of ensuring that the project or school need is funded.
- May transport money for the purpose of having the proper funds available at school sites to make change.
OTHER FUNCTIONS:
- Participates meetings, trainings, workshops, seminars, conferences, etc (e.g. .) for the purpose of conveying and/or gathering information required to perform job functions.
- Performs related duties consistent with the scope of the position.
REPORTING RELATIONSHIPS
Reports to the High School Principal or his/her designee; works collaboratively with building staff and central staff; acts as a resource to staff, students, parents, funding source representatives, and the public; some positions may have student helpers.
KNOWLEDGE, SKILLS AND ABILITIES:
- Knowledge is required to perform algebra and/or geometry; read a variety of manuals, write documents following prescribed formats, and/or present information to others; and understand complex, multi-step written and oral instructions.
- Specific knowledge required to satisfactorily perform the functions of the job includes: standard accounting/bookkeeping principles and practices; standard office machines, methods and practices of office operations; and basic computer applications.
- Skills are required to perform multiple, technical tasks with a potential need to upgrade skills in order to meet changing job conditions.
- Specific skills required to satisfactorily perform the functions of the job include: operating standard office equipment; performing standard bookkeeping; preparing and maintaining accurate records; and using pertinent software applications.
- Ability is required to schedule a number of activities, meetings, and/or events; gather, collate, and/or classify data; and use job-related equipment.
- Flexibility is required to work with others in a wide variety of circumstances; work with data utilizing defined but different processes; and operate equipment using standardized methods.
- Ability is also required to work with a diversity of individuals and/or groups; work with a variety of data; and utilize specific, job-related equipment.

- Problem solving with data frequently requires independent interpretation of guidelines; and problem solving with equipment is limited.

RESPONSIBILITY:
Responsibilities include: working under limited supervision following standardized practices and/or methods; leading, guiding, and/or coordinating others; and supervising the use of funds. Utilization of resources from other work units is often required to perform the job's functions. There is a continual opportunity to impact the Organization's services.
WORKING ENVIRONMENT:
The usual and customary methods of performing the job's functions require the following physical demands: some lifting, carrying, pushing, and/or pulling; and some fine finger dexterity. Generally the job requires 80% sitting, % walking, and 20% standing. This job is performed in a generally clean and healthy environment.
Typical Qualifications
EDUCATION:
High school diploma or GED equivalent and two (2) years of college or business school which included coursework in accounting, bookkeeping and computerized posting and tracking.
YEARS OF RELEVANT EXPERIENCE:
Four (4) years of work experience in accounting/bookkeeping, using a computerized system to track, post, reconcile, and run reports on account information.
SUBSTITUTION:
Additional years of qualifying work experience may substitute for the two (2) years of college or business school on a year-for-year basis.
PREFERRED:
Familiarity with Microsoft Office (Word, Excel, Powerpoint), SAP and eSIS.
REQUIRED TESTING:
Pass the following skills tests: Basic Windows and Word, Intermediate Excel & Alphanumeric Data Entry; standard 10-key.
