This vacancy is located at LDH/OAAS/Villa Feliciana Medical Complex in the Medical Records Department in Jackson, Louisiana. This position will be filled as a Probation or Promotion of a permanent state employee.
As part of a Career Progression Group, vacancies may be filled from this recruitment at a Hospital Admissions Technician 1 or Hospital Admissions Technician 2 depending on the level of experience of the selected applicants(s). Job Distinctions:
Differs from the Hospital Admissions Technician 2 by the absence of responsibility for independently performing assigned duties.
This position serves as the Hospital Admissions Tech. 1 or 2 for Villa Feliciana Medical Complex, an acute and long term care hospital whose mission is to operate health care programs which provide medical care and treatment for residents with acute, subacute, and chronic illnesses and/or disabilities resulting from trauma or genetic defects.
VFMC is a specialized 24 hour medical facility operating with 150-175 staffed beds, with a license capacity of 299 beds. All beds are licensed as hospital beds. The facility operates a small hospital care service that is surveyed by health standards using hospital licensing requirements, with the remainder of the facility surveyed annually under CMS and state standards for nursing facility care. Specialized units include 10 beds for acute and subacute care including a wound care service, and the only long-term tuberculosis program in the state. The facility is staffed with a table of organization of 221 classified positions and 20+ unclassified positions with a budget in excess of $24 million. The physical plant consists of three patient/resident care buildings, administrative building, activity buildings, support service buildings, staff residences, and a variety of storage and special purpose structures, located on a 157 acre site with its own fresh water system, sewer system, chiller and boiler systems, and electrical distribution system. This facility has control of passage with a security gate at entrance.
36% Maintain a daily ward census including vacancies, admissions, discharges, returns, transfers, deaths, and number of patients/residents in the facility and distribute to appropriate departments. Make changes on proper forms and in the Long Term Care program. Submit an electronic 148 form to Office of Eligibility Determination (OED) as needed for level of care changes, non-payment days, admissions, discharges, etc. and a Continued Stay Request form to Office of Aging and Adult Services (OAAS) for nursing facility extensions.
20% Take telephone in-depth applications for possible admission. Responsible for taking and processing telephone and walk-in admission applications. Obtain/verify the applicant’s financial eligibility. Notify the referring facility, etc. of the facility’s decision regarding the approval or rejection of the applicant for admission to Villa Feliciana Medical Complex. Coordinate the new admits date and time of arrival with the referring facility, etc.
10% Answer telephone and direct call to appropriate person or department. Deliver and pick up mail from the administration building.
8% Assemble discharge/death records and analyze for completeness. Discharge records are then filed in appropriate order.
5% File resident’s stripping in correct resident file.
5% Responsible for entering information into the computer, making copies as needed, faxing information to appropriate places daily, weekly, etc., and shredding confidential information.
5% Type admission forms and rolodex cards for new admits and send to appropriate departments and agencies. Responsible for obtaining signatures for all consents for medical treatments and financial responsibilities. Inform new admit and family members of the rules and regulations, various types of services we offer, patient/resident’s rights and advance directives. Interview family member(s) for information that cannot be acquired from the patient due to their illness. Complete a LTC Medicaid Application on new nursing home admits.
1% Notify the appropriate departments of new admit.
1% Escort families for tours of the facility when required, explaining the policies and guidelines of VFMC and requirements for admission.
1% Escort patients to appropriate unit when necessary.
1% Assign a unique Villa number for all new admits to VFMC. Also, assign an “A” number for 2A hospital unit admits.
1% Obtain a photograph of the resident for security purposes, nursing services, patient/resident’s medical records.
1% Maintain patient/resident admission and discharge register, rolodex card, pass record, master card, and hospital stay card on each patient/resident.
1% Maintain monthly statistical reports and distribute to appropriate departments.
1% Notify the unit of any changes in patient/resident’s information. Make sure the appropriate departments have a current resident roster on a daily, weekly, or as needed basis. Acquire medical records from other facilities or doctor’s office when our patients/residents return from an appointment, ER visit, or hospital stay per doctor’s request.
1% Order supplies as needed.
1% Occasionally in-service new employees on forms that are used on the unit.
Make necessary copies from resident’s chart for extensions.
1% Other related Admissions and Medical Records duties to assure that the department runs as smooth as possible. Duties vary from day to day.
