SUMMARY

Under general supervision of the Supervisor, Imaging Services Unit, processes incoming documents for critical business processes by preparing and scanning documents; follows and meets established customer service levels; responds to internal customer requests for agent and policyholder files and other information; and performs other functions.

ESSENTIAL FUNCTIONS

55% Processes incoming documents for critical business processes including new business, agent contracting, claims, client services, worksite, and list bill, which includes:

  • sorting by document, product type, claim type and agent forms;
  • preparing document with accurate barcodes;
  • preparing documents for scanning;
  • indexing to correct company code, product type and general data type;
  • checking quality for readability; and
  • following and meeting established customer service levels for these functions

20% Prepares documents for post issue retention in imaging software, which includes:

  • preparing documents for scanning;
  • checking quality for readability;
  • indexing to accurate policy number, policy owner and document type; and following and meeting established customer service levels for these functions.

10% Responding to customer requests, which includes:

  • taking phone calls and receiving emails; and following and meeting established customer service levels for these requests.

10% Mail Center assistance with preparing outgoing mail for shipping, which includes

  • assisting with hand stuffing policies and/or documents into envelopes for metering;
  • assisting with hand stuffing documents into envelopes for metering;
  • preparing packages for shipment;
  • creating shipments through G2 EMS software; and assisting with mail center closing duties.

5% Performs other functions, which includes:

  • assisting with process improvement planning and implementation;
  • assisting with and participating in team functions and events; and assisting in special projects and other related duties as requested.

EXPERIENCE AND SKILLS REQUIREMENTS

  • Two to four years of office experience required.
  • Imaging and insurance experience beneficial.
  • Ability to organize work and/or projects.
  • Ability to type 40 words per minute required.
  • Professional oral communication skills required.
  • Talent required in values, work intensity, achiever, positivity, resourcefulness, command, relationship, and exactness.

EDUCATION AND CERTIFICATION REQUIREMENTS

  • Associate degree or equivalent in related field required.

PHYSICAL AND WORK SCHEDULE REQUIREMENTS

  • Ability to work 40 hours within flex-time guidelines required.
  • May require some overtime in order to complete functions of position.
