The Firm is currently looking for an IT Project Coordinator to provide support to different groups within the firm as well as the Project Management team. This position is responsible for coordinating meetings, resources and managing various administrative tasks with the goal of ensuring projects are completed successfully as well as provide administrative oversight to the firm’s Smartsheet account.
The ideal candidate will possess great work ethic, judgement, prioritization skills and is detailed. Is self-motivated, takes ownership of tasks and can work independently to achieve results. This role plays a key role within the Project Management group to ensure that various aspects of day-to-day goals are accomplished and that firm goals are met.
Responsibilities:
Project Administration
- Responsible for completion and implementation of Smartsheet solutions
- Provide general administrative support for projects
- Oversee project correspondences and prepare and review project related emails, letters, proposals, memos, meeting minutes and other documents
- Follow production, productivity, quality, and customer-service standards, resolving operational problems and identifying work process improvements
- Ensure all the necessary agreements are in place for each project
- Develop project reports for management and clients
- Organize and maintain project files and databases
- Provide analytical support to manager in executing assigned projects
- Enhance department by accepting ownership for accomplishing requests and exploring opportunities to add value to the department
- Ensure standards and requirements are met throughout the project lifecycle
Project Coordination
- Interact with various internal and external teams to coordinate project activities
- Coordinate project schedules, resources, equipment, and status information
- Create and maintain comprehensive project documentation, plans and reports
- Monitor project progress and address issues as they arise
- Assign project tasks to internal teams and assist with schedule management.
- Coordinate and host department project review meetings
- Work with project manager to help prepare project timelines and budgets
- Oversee and ensure success in all aspects of specific projects as well as generally for all projects for teams within the firm
- Attend and host project meetings and follow-up with outstanding tasks
Project Management
- Help to produce project plans and reports
- Monitor schedules to see that deadlines are met
- Assist with monitoring project budgets and preparing status presentations
- Help to determine requirements and assign tasks to team members
- Act as a point of contact for the assigned projects
- Break projects into actionable tasks and set timeframes
- Participate in project design meetings and recommend improvements as needed
- Track project progress and ensure all project activities are completed on-time
- Assist in project design and development activities
- Monitor project schedules regularly to determine any delays or deviations
Qualifications:
- Bachelor’s degree required
- Law firm experience preferred
- Advanced Smartsheet experience
- Proven work experience as a Project Coordinator
- Solid organizational skills, including multitasking and time-management
- Strong client-facing and teamwork skills
- Self-starter, critical thinker, strong attention to detail
- Ability to manage stress and demonstrated soft skills
- Experience in project management from conception to delivery
- Ability to work independently and drive results with minimal supervision
- Demonstrated understanding of IT project management concepts
- Excellent time management, verbal and written communication skills
- Ability to work effectively under pressure
- Advanced Microsoft Office experience
- Build and maintain positive and productive inter-departmental working relationships
- Flexible and able to multitask on several different aspects of a project or on multiple projects
- Experience working with remote teams with the ability to adapt to change
- Ability to grow positive working relationships with colleagues at all organizational levels
- Excellent customer service, decision making and analytical skills
- Experience working with management at all levels
The compensation for this position may include overtime and a discretionary year-end merit bonus based on performance. We offer a highly competitive salary and benefits package.
