LANDFILL ADMINISTRATIVE ASSISTANT


GENERAL PURPOSE

Under general supervision of the Environmental Services Director, The Administrative Assistant performs a variety of complex, responsible, and specialized administrative and office support functions. This position requires attention to detail and the ability to multi-task throughout the day. It requires consistent interaction with drivers, as well as various management team members. In addition, the main goal is to ensure accuracy in all clerical functions and communication.

ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Perform job duties in compliance with all local, state, and federal regulations and company policies.
  • Maintain excellent and accurate records and files.
  • Create and maintain database and spreadsheet files.
  • Enter daily tracking sheets.
  • Post daily waste management reports.
  • Provides a good quality service in the management of the waste process.
  • Assist with weekly cycle counts and inventory auditing.
  • Process invoices (roll offs/charge accounts) and purchase orders.
  • Process of payments, balance, and reporting.
  • In charge of monthly close process and reporting.
  • Coordinates with personnel to ensure accordance with the auditing processes, inspections, visits, and reviews of the waste operation.
  • Takes requests for waste removal services by phone or by e-mail from multiple departments and assigns team members based on the requirement.
  • Manages the follow-up for projects and key performance indicator reports to be shared with management.
  • Other duties as assigned.

MINIMUM QUALIFICATIONS

Education and Experience:

  • High school diploma or equivalent.
  • Two (2) years’ experience as an Administrative Assistant or any equivalent of education and training that provides the required knowledge, skills, and abilities.
  • Valid Texas Class C Driver’s License.

KNOWLEDGE, SKILLS, AND ABILITIES REQUIREMENTS

  • Proficient in Microsoft Office applications (Word and Excel).
  • Professional demeanor and telephone etiquette.
  • Must possess excellent verbal and written communication skills.
  • Very strong organizational skills and detail oriented.
  • Self-motivated and capable of working independently.
  • Ability to work in fast paced environment while maintaining accurate records for all areas of the position.
  • Must be willing and capable of learning all Landfill systems/operations and able to fill in for other office personnel when necessary.

SPECIAL REQUIREMENTS

  • Eligible to Work in the United States.
  • Bilingual preferred.

TOOLS AND EQUIPMENT USED

Personal computer, including word processor, spreadsheets, project management software, 10- key calculator, phone, copy machine, fax machine, etc.
