Job Title: Medical Receptionist

POSITION SUMMARY: Position functions as a Medical Receptionist in the department, prepares and maintains front desk/registration areas, enters demographics into electronic medical records, obtains reports and records; assists with patient registration and ensures the overall smooth running of the clinical office
PRIMARY DUTIES AND RESPONSIBILITIES (Essential Functions)
1.
Patient Related Duties
- Greets families upon arrival, registers patient, collects insurance information and verifies demographics and any other pertinent data
- Provide patients/parents with intake, new patient forms and all visit pertinent forms as well as copies of office policies and legally required documents
- Process payments for patient co-pays, balances and uninsured visits. Assist billing supervisor with charge entry and other billing related matters
- Prepares for office hours by doing tasks such as obtaining reports, scheduling tests, and preparing collections drawer
- Assists with transition of care to medical assistant to assure a smooth transition

- Communication and Documentation
- Directs patient registration and completes all appropriate requisitions
- Routes phone messages, patient questions, and telephone communications to appropriate personnel and answers patient questions when appropriate
- Call patients to remind them of upcoming appointments
- Assist with scheduling appointment/procedures, obtain prior authorizations, and any other insurance related issues
- Assists with care coordination by doing tasks outlined under the department guidelines such as calling patients with test results, scheduling appointments, assisting with return calls, scheduling diagnostic procedures, and monitoring new and return patient contacts, including scheduling of appointments and follow-up appointments
- Completes necessary charting and documentation in a timely manner

Equipment and Supplies
- Cleans and stocks registration area and sanitizes as required

Other Functions
- Maintains required HIPAA compliance, skills/competencies and participates in in-services, staff programs, continuing education, and cross-training programs according to established standards and office policies
- Complies with OSHA, state and federal regulatory sources/standards
- Participates in quality improvement activities to ensure appropriate clinical outcomes
- Performs other duties as assigned
MINIMUM EDUCATION/EXPERIENCE: High school diploma or GED
REQUIRED LICENSURE/CERTIFICATION/REGISTRATION: Basic Life Support certification (if not certified at time of employment, to have certification within 6 months of start date)
PREFERRED EDUCATION/EXPERIENCE: 1 year of related work experience or relevant training in medical field is preferred; electronic medical record experience preferred. Epic EMR will be used in the office.
CRITICAL SKILLS AND EXPERTISE: Interactive communication skills with ability to work with physicians, patients, families, and support staff. Must have strong interpersonal, organizational, and telephone skills, working knowledge of the fundamentals of medical terminology, and experience/knowledge working with electronic medical records
DECISION MAKING AND IMPACT: Follows department guidelines in regard to answering patient questions and triaging emergent calls in a timely manner
FINANCIAL/OPERATIONAL IMPACT: Serves and protects the clinical practice by adhering to professional standards, policies and procedures, federal, state, and local requirements
SALARY IS NEGOTIABLE AND BASED ON EXPERIENCE
