THE OPPORTUNITY

Breakthrough Public Schools is seeking a highly collaborative, detail-oriented Office Administrator to join the school Operations team. The Operations team is responsible for seeking opportunities for efficiency and scalability across many different business functions, in order to allow our educational leaders to focus on instruction.


The ideal individual has meaningful school-based experience, thrives in an entrepreneurial setting, and can work within a fast-paced, demanding environment. The Office Administrator is critical to the overall success of operations across the Breakthrough network and must be skilled in managing/prioritizing work across multiple projects and locations. The Office Administrator builds and maintains strong partnerships with school-based operations team members and is always looking for ways to improve operational systems and processes – all in order to maximize efficiency and effectiveness and help ensure school operations run smoothly.


The Breakthrough network is composed of six campuses (each with an elementary and a middle school), as well as the Friends of Breakthrough and Breakthrough Support Teams. The Office Administrator will work closely with the school leadership team, including the Principal and Director of Operations, and will be in constant communication with students, staff, families, and visitors.


Essential job functions include the following. Other duties may be assigned.

  • Manage processes to ensure that proper levels of office, cleaning, and teacher supply inventories are maintained; received, distributed, and track deliveries and supplies to appropriate staff members.
  • Maintain a neat, organized, and welcoming office environment.
  • Greet students and families and respond to telephone and in-person inquiries from students, staff, parents, and the public.
  • Ensure timely and accurate attendance is taken, and follow up with families as needed
  • Collaborate with the office assistant to ensure that record-keeping and clerical functions which support school operations (e.g. copying, faxing, data entry, filing, etc.) are performed accurately.
  • Oversee maintenance of all office machines.
  • Serve as reception overflow during reception lunch breaks, absences, and as needed.
  • Distribute report cards, attendance letters, and other school communications and mailings.
  • Train and coach other office staff in proper and efficient procedures.
  • Provide basic first aid medical care to ill or injured students in the absence of the school nurse; call parents and make arrangements for transportation home as necessary. Administer medication as authorized by the family.


Enrollment Support

  • Partner with the Director of Operations for the year-round student application and enrollment and re-enrollment process; receive and maintain accurate records, including proof of residence, school photos, and emergency contact information.
  • Prepare materials for mailings and distribution for re-enrollment, enrollment, and marketing.
  • Maintain accurate student attendance records and compliance with all laws and regulations related to absent and truant students.
  • Create/update spreadsheets and other tools for the purpose of tracking data, enrollment, attendance, and other initiatives.


Compliance and Other Office Duties

  • Establish and maintain an organized filing system within all office information and filing systems.
  • Manage student files by fulfilling student record requests, filing correspondence and obtaining needed documents.
  • Fulfill records requests, prepare for audits and maintain documentation for student files.
  • Assist in logistics for school-wide events during and after school hours.
  • Assist in management of kitchen/custodial staff as needed.
  • Special Project Manager as needed.

Education and/or Experience:

  • High school diploma or GED equivalent required, Associates or Bachelor’s Degree preferred
  • 3-5 years of administrative experience preferred
