Job description
GrayWolf Sensing Solutions is seeking a full-time Office Administrator for our Shelton, CT worldwide Sales and Marketing headquarters. Established in 1998, GrayWolf is the international market leader in high performing, portable indoor air quality instrumentation with global distribution. GrayWolf is entering a substantial growth mode as many new products, which we primarily manufacture at our Ireland facility, are being introduced to the market. This diverse position will be responsible for supporting the Inside Sales Department along with contributing to some of the company’s accounting functions. A great opportunity for the right candidate to gain exposure in varied aspects of domestic and international administration of a small manufacturing company. The ideal candidate will have excellent attention to detail, strong organizational skills, enthusiasm to be part of a dynamic team and have experience with sales and accounting software (or equivalent) listed below.
Essential Responsibilities
· Generate sales quotes in collaboration with sales representatives.
· Assist Inside Sales Representatives with basic e-mail follow-ups per set protocol.
· SalesForce CRM database management including lead entry, assigning follow-up calls for appropriate Inside Sales Representatives, updating data and researching to obtain missing information.
· Sales database report generation (from Salesforce and in Excel).
· Generate Proforma Invoices for prompt payment of orders.
· Notify US and export distributors of updated information regarding products, literature, pricing, etc.
· Return authorization issuance.
· Service contract quoting.
· Follow up with clients and service department for timely performance on all in-house service.
· Submit purchase orders to US vendors for product/supply ordering.
· Obtain quotes from vendors on products and/or shipping costs.
· Coordinate with our Ireland staff on the above 2 items when they need sourcing in the US.
· Match packing slips with vendor bills upon receipt, after confirming pricing is accurate, enter vendor bills into QuickBooks.
· Support the Accounting Manager with invoicing/billing along with credit card processing.
· General office/other administrative duties as assigned.
Requirements
· High School Diploma or equivalent required.
· College degree strongly preferred.
· Three years of related experience. Additional education may be substituted for years of work experience.
· Microsoft Office, QuickBooks, and SalesForce.com or equivalent experience necessary, attention to detail and good phone skills are a must. QuoteWerks or equivalent experience beneficial.
$44,000 - $50,000 starting salary (dependent on experience/education).
