The Acoaxet Club is a century-old member-owned family golf and racquet club located on the South Coast of Westport, MA, with legendary views of the Atlantic. We are restructuring the Business Office and are looking for a dynamic, full-time, member-obsessed Office Manager & Bookkeeper who can bring our Business Office into the 21st century.
Job Description
The Office Manager & Bookkeeper is responsible for several duties pertaining to the daily operational functions at the Club, reporting to and providing assistance to the Controller, Treasurer, and President. Responsibilities include: Payroll, Accounts Receivables, Accounts Payables, HR Clerical duties, and member relations.
Day-to-Day
· Perform all duties pertaining to the daily revenue reconciliation and cash deposit activity.
· Responsible for member billing (ensuring accuracy and overseeing dispute process).
· Responsible for vendor reconciliations.
· Assist Controller with monthly close.
· Responsible for all aspects of payroll.
· Daily -- Cash & Credit card reconciliation for all departments. Bank deposits twice weekly or as needed. Accounts payable -- enter invoices and pay dates.
· Payroll --- enter payroll hours online for processing by our payroll company. Keep employee information up to date.
· Monthly -- Post member dues, late fees, email, and print statements.
· Accounts receivable - post member payments and private event payments. Resolve any member questions about billing.
· Manage the member roster.
· Oversees HR functions, including onboarding and employee benefits.
· Order office supplies, process mail, answer telephone, and other general administrative responsibilities.
· Audit daily chits and update end-of-day POS activity to members’ accounts from all departments.
About You
- 5+ years of Bookkeeping/Accounting experience preferred.
- Candidate is required to be a well-organized and detail-oriented person who is capable of multi-tasking in a fast-paced environment.
- Highly professional and dependable.
- Possess strong verbal and written communication skills.
- Candidate must be a highly visible, charismatic, self-starting professional who truly enjoys the hospitality/club environment.
- Ability to pass background and credit check as the position deals with confidential information.
- Must have strong knowledge of Microsoft Office Suite (Outlook, Word, Excel).
- Bonus if you have experience with Jonas Club Software.
- Previous Club/Hospitality/ experience is preferred.
- **We prefer that applicants live within a 15-mile radius or within 35 minutes.
Educational Requirements:
- Bachelor’s degree from a four-year college or university is highly desirable.
Job Type: Full-time
Pay: $57,406.00 - $61,654.00 per year
