Job Description
The Office Manager/Bookkeeper supports the program and administrative functions of El Ranchito de los Ninos with integrity and efficiency. This includes developing and maintaining records such as grant reports, calendars, digital/paper files and timekeeping systems.
In addition to taking the lead on entering financial transactions into the bookkeeping system, the Office Manager/Bookkeeper will develop and maintain a welcoming office environment and coordinate logistics for all Board and Staff Meetings. The Office Manager/Bookkeeper will carry out a wide range of activities, including fiscal data management, reporting, correspondence, and direct contact with all ERDLN staff and Board, as well as volunteers and children in our care.
Bookkeeping Essential Functions/Major Responsibilities (50%)
· Using ERDLN’s bookkeeping systems (Donor Perfect and QuickBooks Online), enter and post donations, input and pay bills, create journal entries from payroll reports, reconcile credit card statements, bank accounts, and print checks.
· Submit check deposits using banking systems E-deposit machine/software
· Provide support for Accountant’s fiscal reports, track (pledges), complete required forms, and take on other tasks for administrative staff.
· Work with staff to improve monthly grant/event reports.
· Generate documents for the annual audit.
· Follow ERDLN’s accounting procedures for coding AP and AR
· Maintain internal controls
· Update the accounting procedure manual on an ongoing basis
· Maintain postal service account
· Serve as the main point of contact with ERDLN’s payroll processor and maintain the timekeeping system
· Manage payroll and contractor tax report filings
· Support the maintenance of complete, accurate binders and digital files
· Take on other assignments as directed by the Executive Director
Office Manager Essential Functions/Major Responsibilities (50%)
· Greet visitors and create a welcoming office environment
· Provide excellent customer service on the telephone and in person
· Answer the phones and process incoming and outgoing mail
· Maintain office supplies
· Maintain the office technology systems by being the chief relationship manager for tech support service providers and software and hardware vendors
· Coordinate Board and staff meeting logistics including room reservations, transportation, catering agendas and minutes
· Coordinate onboarding of new employees and ensuring completion of HR paperwork and appropriate benefit administration
· Work with staff to ensure all volunteer, child, donor, employee and applicant documents are complete and filed in a timely manner
· Ensure compliance with all CYFD and NMCCCA rules and regulations
· Work with staff to update digital and paper files
· Create and maintain a digital calendar for the organization
· Format and print letters and other correspondence for program, development and admin staff as needed
· Assist with ERDLN events both in the office and in the community
· Assist with processing and intake of in-kind donations
· Maintain confidentiality and be discrete with information
· Maintain the cleanliness and order of the office
· Take on other assignments as directed by the Executive Director
Job Type: Full-time
Pay: $20.00 - $25.00 per hour
