On‐Site Administrative Support Specialist

Job Summary & Description:

The Front End Administrative Support Specialist is responsible for gathering, organizing and the submitting of patient records to the main billing office, for the anesthesia services furnished by providers of North American Partners in Anesthesia’s (NAPA). This position will work closely with the Front End Reconciliation Team and the Revenue Recovery Team to ensure all necessary documents are provided in a timely and organized manner. This position requires attention to detail and the ability to work in an efficient manner with minimal supervision. This position is not remote, the Front End Administrative Support Specialist is required to work daily onsite at the designated hospital.

Responsibilities include, but are not limited to:

  • Gathering and sorting patient anesthesia records, other supporting documents and quality forms by date.
  • Reconciling each date against a schedule and by any other means of tracking cases throughout the day, to ensure no cases are missed.
  • Reviewing documents to ensure all required information is completed prior to submitting to the billing office. Including: Legible, transmittable anesthesia record and demographic sheet Date, Anesthesia start and anesthesia stop times, Surgical procedure, Surgical diagnosis, Anesthesia provider name(s)QI sheet/number, Post‐operative pain block and line placement documentation where appropriate, Medical diagnoses or pre‐anesthetic evaluation or history & physical for MAC Medical Necessity.
  • Gathering additional documentation as requested by billing office.
  • Diligent follow‐up on email requests for additional information requested, including maintaining a system for tracking open requests that need follow‐up.
  • Completing other administrative tasks as needed, including but not limited to
  • researching missing documentation, providing additional documentation upon request.

Requirements:

  • Requires general office skills, including operating fax machine, scanner, and basic computer skills as well as familiarity with Microsoft 365.
  • Ability to multi‐task, prioritize, and give attention to detail; accuracy is a must.
  • Communicate effectively and timely, both verbally and in written text.
  • General understanding of HIPPA Compliance and protected health information.
  • Positive and professional attitude, with a strong emphasis on working as a team.
  • Completion of hospital’s contractor onboarding requirements; physical, vaccinations and background.

Education/Experience:

  • High School or equivalent, some college preferred.
  • Familiarity with Medical Terminology, CPT codes, and ICD‐10‐CM is a plus.
  • Experience with Document Management Systems a plus
  • Microsoft Office
