Part-Time Administrative Assistant Job Description

City of Light Church seeks a part-time Administrative Assistant for its’ day to day administrative needs in
Milwaukee/Wauwatosa, Wisconsin.

Essential duties and responsibilities include the following. Other duties may be assigned.
Reception Responsibilities
1. Greet visitors to the church office, providing assistance whenever possible
2. Answer the telephone cordially, providing assistance whenever possible
3. Handle miscellaneous details (unscheduled, unspecified, unexpected as assigned by the Pastor)

Secretarial Responsibilities
1. Handle church mail, pick-up/drop-off, opening, distribution, and responding as appropriate
2. Keep part or all of lead Pastor’s schedule/calendar and appointments up to date
3. Order supplies
4. Arrange and organize materials for Sunday distribution
5. Be a connection point to serve and distribute information between children’s, music, outreach and various ministry teams in the church
6. Assist with weekly guest follow-up
7. Keep website, social media and calendars up to date
8. Provide some budgeting/reimbursement assistance
9. Keep office organized/neat

Managerial Responsibilities
1. Maintain membership records, including an accurate database
2. Keep an inventory of and order supplies for office and staff
3. Supervise the maintenance of church office equipment in consultation with vendors/contractors
4. Recruit and supervise volunteer help for routine tasks as needed
5. Take initiative in problem solving

Media Responsibilities
1. Distribute public relations pieces (mailers, e-newsletters, sign-up forms, social media posts and flyers)
2. Create/edit Sunday presentation slides
3. Video editing/photography experience is a plus

Physical Demands

Position Supervision
The Administrative Assistant will be under the direct supervision of the pastor, and will receive a yearly job review and performance appraisal. The desire is that a good team oriented working arrangement will be expressed between the pastor and administrative assistant.

Hours: Approx. 20 hours a week minimum over four days: Monday-Friday (Some Sunday mornings)

Pay: $11.00 - $14.00 per hour

Education:

  • High school or equivalent (Preferred)

Experience:

  • working/serving in a church: 1 year (Preferred)
  • Microsoft Powerpoint: 3 years (Preferred)
  • Administrative Experience: 3 years (Preferred)
