Under direct supervision of the Practice Manager and guided by the protocols of the Orthotic and Prosthetic Department, the Scheduler functions as the primary contact for new and established patients requiring assistance.

Scheduler will pre-register, schedule appointments, verify insurance, and coordinate required medical and financial information for all new patients as needed. Will have constant contact with patients, referring doctors, and the entire UCSF community. Will be on the telephone and email constantly, triaging patient appointments, ensuring that patients are accommodated with appointments as quickly as possible, are scheduled with the correct practitioner, and ensuring that referrals and authorizations are in place prior to appointments if required.

Scheduler will ensure they are meeting the benchmarks of the medical center in terms of number of calls answered and that their customer service is of the highest priority. Must have exemplary customer service and telephone skills, accuracy is critical. Will be able to manage templates in Apex.

Works as a team member with other practice staff and consistently projects a professional and courteous demeanor. Required to comply with the Medical Center House and Telephone Standards. Exemplary customer service is essential, as this individual is the first point of contact for a patient calling the clinic. Must treat all patient encounters and information with discretion and confidentiality per HIPAA.

Please note: The compensation ranges listed online for roles not covered by a bargaining unit agreement are very wide, however a job offer will typically fall in the range of 80% - 120% of the established mid-point. An offer will take into consideration the experience of the final candidate AND the current salary level of individuals working at UCSF in a similar role.

For roles covered by a bargaining unit agreement, there will be specific rules about where a new hire would be placed on the range.

Department Description

The Department of Orthopaedic Surgery is responsible for the department's academic, teaching, patient care professional services and research activities under the UCSF School of Medicine (SOM). The department has over 250 academic and staff personnel at multiple sites (University of California - UC, Mt. Zion, Mission Bay - MB, San Francisco General Hospital - SFGH, and San Francisco Veterans Affairs Medical Center - SFVAMC). The Orthotic and Prosthetic Department provides joint patents care with numerous services across the UCSF health care system.

Required Qualifications

  • Experience in a clinical front desk setting
  • Experience in health-related or customer service
  • Experience with multi-line telephone systems
  • Knowledge of insurance benefits and terminology
  • High School diploma or equivalent including four years of related administrative experience; or an equivalent combination of education and experience
  • Proficient keyboard and computer skills, including but not limited to, Microsoft Office
  • Possess the proven ability to handle multiple projects simultaneously and be able to set priorities that accurately reflect relative importance of job responsibilities
  • Pleasant, calm, friendly demeanor. Flexible, good interpersonal skills, ability to keep a professional manner even under pressure
  • Ability to recognize and resolve problems, and to assess need for supervisor intervention
  • Ability to work both independently and in teams; be self-directed and have the ability to follow through on specific assignments with accuracy and minimal direction
  • Strong verbal communication skills. Proven ability to communicate effectively over the telephone with vendors, peers and clinicians
  • Demonstrates courtesy and overt helpfulness in all interactions

Preferred Qualifications

  • Fluency in Spanish
  • Experience working with Epic/Apex
  • Knowledge of the discipline of Orthotics and Prosthetics
  • Knowledge and ability to use anatomical terminology
