Position Summary:
This position is responsible for general administrative duties in the Finance department.
The Office of Finance houses responsibilities that involve the entire campus. Excellent
organizational and communication skills are required, as is the ability to handle sensitive
and confidential information in a professional manner. This position is responsible for
institutional property and liability insurance, including annual renewal, reporting, and
claims filing. This position manages the office budget, and the budget allocations for
moving stipends and administrative searches. This position processes budget transfers
and journal entries for the accounting and budget offices. Other duties include ABM and
campus communications from Finance, tracking and coordination of fiscal notes,
coordinating the data collection for all required bond disclosures and Moody’s
reporting, and various other duties that can be complex in nature.
Specific Job Duties (Essential Functions and Responsibilities)
- Oversee and reconcile departmental budgets, keep budget managers up to date,
- Input journal entries into the Banner system, serve as back up to budget transfer
- Payroll and accounts payable check printing
- Provide general administrative support to the Finance department by gathering
tasks
- Organize, track and coordinate responses to all fiscal notes, ensuring deadlines
- Gather and report information on vehicle inventory, property values, and other
- File property and liability insurance claims, follow up to ensure all information is
- Responsible for auxiliary indirect cost allocations, telecom cost allocations, and
- Assist with the creation and editing of Finance policies
- Coordinate search process for all Finance department administrative positions,
- Oversee and coordinate budgets and transfers for administrative searches and
- Coordinate the collection and reporting of various financial data, such as bond
Requests for Information, Higher Learning Commission annual disclosures,
Colorado Department of Higher Education reports, etc.
- Maintain the Fiscal Code of Ethics policy and ensure all signed form are on file
- Assist with annual audits of procurement and travel cardholders across campus
- Hiring, coordination, and supervision of office workstudy positions
- Hold and manage back up campus event card for travelers needing to utilize card
- Serve as back up for travel functions
- Maintain up to date procedure manuals for all assigned areas of responsibility
- Manage the supply cabinet and department office supply orders
- Maintain confidentiality
- Other duties as assigned
- Bachelor’s degree in business, communication, or a relevant field, or equivalent
- Two years’ experience in office management or related area
- Ability to treat others with respect, civility, and courtesy and to work honestly,
includes the ability to use appropriate conflict management skills to effectively
manage any disagreement that might arise or to bring the disagreement to
management for assistance in productive resolution when the situation requires.
- Excellent written and verbal communication skills
- Excellent organizational skills and the ability to handle multiple assignments and
- Ability to work independently
- Excellent problem-solving skills
- Demonstrated ability to work collegially and collaboratively with diverse internal
- Proficiency with Microsoft Office and Google Applications
The pay range for this position is $39,125 - $44,504, commensurate with education
and experience. In addition to salary, Adams State University offers a competitive
