Duties and Responsibilities
**Plan, organize, and prepare all logistics for Hawaii P-20’s time-sensitive Attainment Goal project and other projects, as applicable.- **Prepare and execute agendas and presentations as needed for collaborating partners.
- **Maintain project documentation of business decisions, meeting minutes, communications, and other related collateral materials.
- **Facilitate and promote communications for stakeholder groups such as the P-20 Council, the public, community-based groups, and senior leadership at partner organizations.
- **Facilitate discussions with partner agencies to accomplish project activities.
- **Serve as the point-of-contact for all project-related activities and provide timely communications to project stakeholders.
- Clarify and communicate roles, responsibilities, and deliverables as needed to ensure meeting project plan timelines.
- Identify challenges and resolve issues encountered through the lifespan of the project, and assess the impact to timelines with appropriate adjustments to deadlines, if needed.
- **Produce and distribute an annual report of activities, progress towards goal(s)/objective(s), accomplishments and challenges, and budget expenditures.
- Produce and present to stakeholders project information that succinctly describes the progress, accomplishments, challenges, and developed or planned metrics.
- Manage any vendors that may be associated with projects in order to meet documented deliverables.
- **Monitor collaborating partners progress towards project goals and objectives, including feedback, challenges, and successes.
- Anticipate and ensure that resources required for each project are available and allocated appropriately.
- Manage project relationships for Hawaii P-20 and stakeholders.
- Other duties as assigned.
Minimum Qualifications
- Possession of a baccalaureate degree in Business Administration, Communications, Social Sciences, Education, Public Administration or related field and 3 years of progressively responsible professional experience with responsibilities for grant, administrative, institutional or program management; or any equivalent combination of education and/or professional work experience which provides the required education, knowledge, skills, and abilities as indicated.
- Considerable working knowledge of principles, practices and techniques in program management as demonstrated by the broad knowledge of the full range of pertinent standard and evolving concepts, principles and methodologies.
- Considerable working knowledge and understanding of applicable federal and state laws, rules, regulations and theories and systems associated with program management.
- Demonstrated ability to resolve wide ranging complex problems through the use of creative reasoning and logic to accurately determine the cause of the problems and the resolution of the problems in an effective, innovative and timely manner.
- Demonstrated ability to interpret and present information and ideas clearly and accurately in writing, verbally and by preparation of reports and other materials.
- Demonstrated ability to establish and maintain effective working relationships with internal and external organizations, groups, team leaders and members, and individuals.
- Demonstrated ability to operate a personal computer and apply word processing software.
- For supervisory work, demonstrated ability to lead subordinates, manage work priorities and projects, and manage employee relations.
- Demonstrated ability to facilitate and engage large and small groups to inform stakeholders, obtain business decisions and feedback relative to established goal(s) and objective(s).
- Demonstrated ability to manage project activities and meeting logistics while accomplishing project deadlines.
- Demonstrated ability to identify challenges and provide solutions to ensure progress is met within established timelines.
- Demonstrated ability to plan, organize, and execute logistics for meetings, events, or other complex activities.
- Demonstrated ability to maintain documents, minutes, and other project materials to ensure formal records of progress towards project completion.
- Ability to do detailed and accurate work.
- Demonstrated ability to create and deliver visual representations of information in order to present important/relevant findings in reports, presentations, or written summaries.
- Demonstrated ability to create and maintain project plans in written, Gantt chart, or other formats in order to effectively communicate project progress.
- Experience with deriving conclusions and findings from data reports, tables, graphs, or other representations of numerical results.
- Experience in writing grant-funded annual performance reports.
- Experience with providing effective collateral materials (one-pagers, handouts, reports, etc.) to provide project messaging to stakeholders and the public.
- Experience with coordinating activities with the Hawaii State Department of Education.
- Experience with coordinating activities with the University of Hawaii.
