POSITION SUMMARY
This position is a responsible administrative position dealing with the coordination of events and programs through the Parks, Recreation & Events Department. An employee in this position is responsible for the coordination of planning and managing events, as well as recreational programs. This person must be self-motivated conscientious and organized; must have budgetary knowledge. This person must also have experience in public relations and program skills. An employee in this class is also responsible for other work assignments given to them by the Programs and Events Manager. This person must exercise independent judgment and ingenuity in accomplishing program and event objectives and interpreting the needs and desires of citizens and visitors to Columbia County.
Work is typically performed sitting, standing, walking, stooping, bending, or crouching and requires frequent lifting of light objects and occasional lifting of heavy objects. The employee must be able to climb ladders, distinguish among shades of color, and exhibit manual dexterity.
Work is performed in an office or stock room and outside where the employee is exposed to cold, heat, and inclement weather. The employee is exposed to dirt, dust, and noise.
Contacts are typical with co-workers, other county departments, community organizations and civic clubs, part-time and volunteer helpers, and the general public.
Duties may require evening, weekend, and holiday work due to scheduling program and event activities.
A Bachelor’s degree is required in Parks/Recreation/Event Management, Marketing or Public Relations, or a related field, and a minimum of five years of related experience is preferred. Experience sufficient to thoroughly understand the work of subordinate positions to be able to answer questions and resolve problems, usually associated with one to five years of experience or service. Possession of or the ability to readily obtain a valid driver’s license.
NATURE AND SCOPE
Successful performance in this position helps to assure the delivery of safe and enjoyable programs and event activities within the county.
Guidelines consist of the Policies and Procedures of the county and the Parks Recreation and Events Department as well as for instructions from the Programs and Events Manager. Most guidelines are clear and specific, but the employee does have to use interpretation about programs and events.
The work of this position is to oversee particular tasks throughout the program and event planning process. This position will understand what it takes to make sure logistics work out, ensure that the event itself is carried out smoothly, and act as an on-site liaison for Columbia County Parks, Recreation & Events during each program and event.
Contacts are typically to exchange information that supports the provision of the programs and events, coordinate needs with the recreation department, and relay information internally to enable the county to assist in the promotion of programs and events.
PRINCIPAL ACCOUNTABILITIES
Establish and maintain relationships with vendors and local businesses and community organizations.
Oversees set up, load in, and break down of programs and events.
Communicates needs for additional personnel and/or resources to various county departments.
Working with the Marketing Manager to create advertisements or other promotional materials as it pertains to the programs and events.
Attends schools, workshops, and related meetings and seminars as required.
Maintains inventories of program equipment and supplies and requests for additional needs.
Maintains a complete record system of activities conducted, participation, and any accident reports.
Performs other related duties as assigned.
KNOWLEDGE, SKILLS, AND ABILITIES
Knowledge of the Principles of Program and Event Coordination.
Knowledge of First Aid and Safety Regulations.
Skill in written and oral communication.
Proficient in Microsoft programs
Skill in motivating and directing individuals
Skill in the operation of computers, copiers, vans, public address systems, and other related equipment.
DESIRABLE TRAINING AND EXPERIENCE
